ROLE SUMMARY: Seeking a detail-oriented Consignment Coordinator with excellent client service skills to support operations for our regional office in New York. Responsible for supporting daily operations in multiple departments, including packing, shipping, and receiving, entering consignment property, art handling, preview set-ups, and assisting otherwise as needed. LOCATION: Heritage Auctions New York, 445 Park Ave New York, NY 10022 BENEFITS: Medical, Dental, Vision coverage Paid time off 401k savings plans Monthly Fitness membership reimbursement COMPENSATION: $20.00/hr - $21.00/hr (Commensurate based on experience) ESSENTIAL DUTIES & RESPONSIBILITIES: Process incoming consignments and shipments accurately and efficiently, including: Opening packages and unpacking contents safely and thoroughly Labeling/tagging and verifying contents of packages Creating and updating electronic reports for the consignment Support and communicate with Consignment Directors throughout the consignment process Communicate with clients as needed during the consignment process Research the status of consignments Pack and ship consigned property appropriately, with extra care in handling fragile and delicate items. May occasionally lift up to 50 pounds Assist in loading and unloading items Comply with office and property security requirements Comply with office operating procedures Assist with local highlights previews, appraisal days, and other events as needed (assist with event logistics such as catering, supplies, furniture rentals) General art handling responsibilities Maintain gallery display space and common areas (i.e. painting and spackling) Perform inventories of consignment material Other operational duties as assigned Requirements EDUCATION & EXPERIENCE: Minimum 2+ years of operations or shipping experience; auction experience is a plus Strong knowledge of logistics is a plus Ability to learn internal systems including handheld scanner programs, intranet and more Prior work in client-facing roles or hospitality settings is a plus. Experience in administrative support or clerical work is a plus. Proficiency in Microsoft Office Suite, including: - Word: document formatting, templates, and mail merge - Excel: spreadsheets, formulas, and data reporting - Outlook: calendar management, task coordination, and handling high-volume correspondence SKILLS & ABILITIES: Action-oriented with skills and aptitude to excel in a fast-paced and deadline-driven environment Ability to prioritize and multi-task Must be highly detail-oriented Excellent communication and interpersonal skills; demonstrated ability to communicate with all organizational levels Flexibility to work overtime and weekend hours when necessary WORK ENVIRONMENT: Individuals must be able to work independently in a fast-paced environment. During peak periods, there may be mandatory overtime, such as working extended hours, nights, and weekends. This position may require overnight travel based on business needs.
