Responsibilities

JOB PURPOSE

We are looking for a highly organised and proactive Department Coordinator to support our Engineering Department. This role is central to improving communication across the team, ensuring resources are effectively planned, and helping the department run smoothly on a day-to-day basis.
As the Department Coordinator, you will act as a point of contact within the department, keeping diaries up to date, circulating key information, and ensuring that colleagues have the resources they need to deliver their work on time. Your focus will be on promoting collaboration, preventing issues before they arise, and making sure the department remains well-structured and efficient.

KEY RESPONSIBILITIES

  • Coordinate day-to-day departmental activities, ensuring effective communication across the team.
  • Maintain schedules, diaries, and task lists to support resource planning and project timelines.
  • Act as a central point for information flow, sharing updates with relevant stakeholders before issues become problems.
  • Support departmental meetings by preparing agendas, taking minutes, and tracking follow-up actions.
  • Monitor resource usage (staffing, time, equipment) and highlight potential bottlenecks or conflicts in advance.
  • Develop and maintain simple systems for tracking workload and priorities.
  • Encourage collaboration between engineering, projects, and other departments to ensure smooth workflows.
  • Provide general administrative support to the department as required.
