Position Summary Department Secretary – Inpatient Rehabilitation (OHARI) Location: 1300 Hempel Ave, Ocoee, FL 34761 Status: Variable Full‑Time (VFT) Shift: Three twelve‑hour shifts per week Hours: 7:45am to 8:15pm Schedule: Rotating days, including weekends and holidays approximately every third weekend Additional Opportunities: Occasional extra shifts as Unit Secretary or Patient Sitter, based on department needs Position Overview The Department Secretary provides essential administrative, clerical, and guest services support to the Inpatient Rehabilitation department. This role serves as the front‑desk point of contact during visitor hours and plays a key role in supporting daily unit operations. The ideal candidate demonstrates strong communication skills, excellent customer service, and the ability to manage multiple priorities in a fast‑paced healthcare environment. Key Responsibilities Greet and assist patients, visitors, and staff in a professional and welcoming manner Provide front desk coverage and guest services support during designated visitor hours Perform administrative, secretarial, and clerical duties to support departmental operations Schedule appointments and maintain department calendars Prepare reports, charts, and presentations using Microsoft Word, Excel, PowerPoint, and Teams Maintain, order, and track office supplies while monitoring departmental supply budgets Submit work orders for maintenance and housekeeping needs Assist with timekeeping and attendance tracking using KRONOS or similar systems Answer and route phone calls, emails, and inquiries; resolve issues or escalate appropriately Organize meetings, prepare materials, and record meeting minutes Maintain departmental files in compliance with records retention guidelines Process invoices and support timely departmental disbursements Transport equipment and materials within the facility, excluding controlled substances and IV chemotherapy drugs Maintain confidentiality and comply with all organizational policies and procedures Required Qualifications High School diploma or equivalent Minimum of two years of clerical or secretarial experience Strong customer service and communication skills Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Teams Ability to multitask and prioritize effectively in a fast‑paced environment Strong organizational skills and attention to detail Benefits – Available Starting Day One Medical, Dental, and Vision Insurance 403(b) Retirement Savings Plan Health Savings Account and Flexible Spending Account options Up to five weeks of paid time off Paid parental leave and family care support Life insurance and extended leave plans Pet and car insurance options One hundred percent paid tuition and student loan repayment assistance Responsibilities
