WHAT WE ARE LOOKING FOR

You will be an excellent team worker, collaborating effectively with the Head of Department and Director of Operations, School of Public Health, the Scientific Manager, the Section Managers, academic staff and project teams, as well as other administrators and colleagues in the Department, external partners and collaborating organisations and grant funding bodies.

Key duties and responsibilities include the following:

  • Preparing, in consultation with the School Manager, Finance Manager and Head of Department, the Department’s financial forecasts for the School’s Financial Plan.
  • Undertaking all aspects of the management of research accounts in liaison with Principal Investigators, Section Managers, staff employed on grants and staff in the Joint Research Office, the Finance Division, Human Resources, the School and external organisations as appropriate. Ensuring the smooth and efficient running of all aspects of the department’s grants.
  • Managing the preparation of paperwork for new appointments with Section Managers as appropriate. Drafting and revising Job Descriptions and advertisements.
  • With the Head of Department and School Manager, develop and maintain a departmental administrative staffing structure of Section Managers and administrative staff.
  • Management of the efficient use of facilities in the Department, allocating desks to staff and students and advising the Head of Department on any space issues.
  • Planning and making arrangements for new PhD students (bookable desk space, IT access, etc).
  • Acting as Health and Safety Officer for the Department, being responsible for advice and executive action delegated by the Head of Department/School in respect of health and safety throughout the Department, and ensuring all standards are met appropriately.
  • Preparation of administrative, financial and HR information for any surveys or reports required by the School, Faculty or College, e.g., REF submissions, and NHS R&D annual reports and research activity updates.

Responsibilities

ABOUT THE ROLE

This is a busy, varied and highly responsible post at an exciting time of major developments within the School of Public Health, the Faculty of Medicine and the Imperial. The post involves a high level of interaction with staff at all levels as well as liaison with national and international research sponsors.

WHAT YOU WOULD BE DOING

You will take major day-to-day responsibility for all aspects of the administration of the Department of Infectious Disease Epidemiology (DIDE), which includes the MRC Centre for Environment and Health. The DIDE has a substantial research grant portfolio, and is involved in the management of the School’s range of Masters programmes, including the innovative online Global MPH. The Department Manager’s key duties include Finance, Grants, Human Resources, Health and Safety and premises management.
