We are currently seeking a Depot Coordinator to join our Depot Operations team in Richmond.

KNOWLEDGE, SKILLS & ABILITIES:

  • Education & Knowledge
  • High school diploma (Grade 12) required; additional coursework or training in administration is considered an asset.
  • Previous office experience, ideally within a logistics or transportation environment, is preferred.
  • Proficiency in English, both written and verbal, is required.
  • Solid working knowledge of Microsoft Office, particularly Excel, Outlook, and Word.

  • Excellent time management with the ability to prioritize tasks effectively.
  • Reliable and punctual with a professional work ethic.

  • Flexibility to work variable shifts from Monday to Friday, including occasional Saturdays. Shifts will alternate between mornings and afternoons, with extended hours based on operational needs.

WORKING CONDITIONS & PHYSICAL / SENSORY REQUIREMENTS:

  • This is a fully on-site position that requires the ability to remain seated and/or stand for extended periods throughout the workday.
  • Candidates must be comfortable with occasional exposure to outdoor conditions, including varied weather such as heat, cold, rain, and ambient noise.
  • Regular work will take place in an active terminal or yard environment, with frequent proximity to operating heavy equipment and vehicles.

    Day: 6:00 AM – 2:30 PM, 7:00 AM – 3:30 PM, 8:00 AM – 4:30 PM, 9:30 AM – 6:00 PM
    Afternoon: 11:30 AM – 7:00 P

Responsibilities

ABOUT THE ROLE:

The Depot Coordinator is primarily responsible for processing and coordinating container movement through the terminal and maintaining inventory for stakeholders for IntermodeX Logistics Ltd. The position utilizes two-way radio communication to direct the workforce accordingly with various clerical duties to support the Supervisors and the management team.

WHAT YOU’LL DO:

  • Efficiently coordinate in-gate and out-gate container transactions, ensuring timely and accurate data entry into the operating system and Microsoft Excel.
  • Manage terminal dispatch and transactions using communication equipment such as 2-way radios and headsets.
  • Collaborate with internal departments and team members to meet stakeholder requirements and resolve issues promptly.
  • Verify container information via stakeholder websites, portals, and email correspondence.
  • Support drivers with required paperwork and provide solutions to issues arising during the out-gate process.
  • Communicate daily with stakeholders regarding inventory levels and report any damaged equipment.
  • Respond to stakeholder inquiries, providing timely updates and relaying feedback to appropriate parties.
  • Conduct customer verifications through designated web portals.
  • Manage incoming calls and route them efficiently to the relevant departments.
  • Maintain accurate records and ensure filing complies with company policies and procedures
