Overview We are hiring a team of high-performing Virtual Assistants to support a fast-paced Dermatology and Med Spa practice. This includes patient coordination, cosmetic outreach, social media support, and insurance authorizations. This role requires individuals who are camera-on during shift, highly committed, and able to deliver excellent communication with minimal to no accent for patient-facing tasks. Candidates must have experience in USA dermatology, med spa, or aesthetic environments, and familiarity with ModMed EMR (preferred). Lead Roles (2 Positions)A. Lead Receptionist (Front Desk Lead) Oversee scheduling workflows and call handling Ensure quality of patient communication Monitor team performance (calls, bookings, responsiveness) Support escalation handling and patient concerns Maintain workflow efficiency across front desk operations B. Lead Authorization VA Manage prior authorizations and insurance approvals Oversee submission, follow-ups, and approvals Ensure compliance with payer requirements Support denial prevention strategies Coordinate closely with billing and clinical teams Systems & Tools ModMed EMR (preferred) Phone systems (RingCentral or similar) Social media platforms (Instagram, TikTok, Facebook) AI tools for video/content creation Qualifications Experience in Dermatology / Med Spa / Aesthetics (required) Strong English communication skills (minimal to no accent) Experience in patient coordination, scheduling, or medical VA Familiarity with insurance verification / authorizations (for relevant roles) Experience with social media or content creation (for marketing roles) Ability to work with camera ON during shift Reliable, committed, and able to work long-term What We’re Looking For Proactive and accountable High attention to detail Strong work ethic and consistency Able to multitask in a fast-paced environment Team players who can also work independently
