Job Specification – Despatch Administrator
Reports to:Despatch Supervisor
Role Purpose:
The role of the Despatch Administrator is to ensure effective communication of all transport and order information is passed out to the relevant internal & external teams. They will support and work alongside the Despatch & Coldstore Team & ensure all daily admin tasks are met. In addition, they will provide generic admin resources & support as & when required to for the rest of the business.
Key Accountabilities

Admin Despatch

  • SAGE despatch
  • SAGE picking lists – Oldest date first where appropriate
  • Stock Report Analysis – Customer orders vs finished goods stock level
  • Communications with Customer/Planning & Operations
  • Assist with booking orders with customers
  • Customer order processing for both Fresh & Frozen Finished Goods & Raw Material
  • Assist with Truck sheets & keeping these up to date
  • Brakes – Inter warehouse transfer
  • Return process & non-conformance process
  • Disposal paperwork for Cold store & loading bay
  • Red & euro pallet control
  • Coordination of Factory requests – NPD, part pallets, raw material

Sales Admin

  • General sales admin duties including reports required
  • Customer communication when required
  • Communication to all Account Managers in regard to stock availability
  • Management of new products that are going live to the customer, ensuring they are set up correctly on sage.

Coldstore Analysis

  • Assist with Month End & Weekly stock reports
  • Assist with Space management
  • Assist with any stock admin duties monthly

Holiday cover may be required for additional Transport & Despatch tasks

We would be looking for the candidate to work Monday, Tuesday & Friday 8am – 5 pm. With a view to work weekends if required - this would be a couple of hours on a Saturday or Sunday and this can be done from home
