JOB DESCRIPTION Position Title: Development Coordinator Employment Classification: Full-time, Hourly, Non-exempt, Classified (12 months) Pay Range: $26.00 - $31.00 per hour Reports to: Director of Development Position Summary: The Development Coordinator supports Samueli Academy’s mission by providing administrative, operational, and strategic support to the Development Department. This role focuses on grants management, data management, annual giving plan implementation, and event logistics. Working closely with the Director of Development, the Development Coordinator helps execute fundraising strategies and ensures effective stewardship of donors. The ideal candidate is organized, proactive, and passionate about making a difference for students. Requirements Major Areas of Responsibility: Lead all aspects of grants management, including research, drafting, submission, and reporting. Maintain the grants calendar and track deadlines, submissions, reporting requirements, and award statuses in Raiser’s Edge and internal systems. Manage the process of creating impact reports for grant funders, including tracking deadlines, coordinating content, and drafting reports. Write and submit applications, proposals, and letters of inquiry using Samueli Academy’s master grant narrative. Assist in refining and maintaining the master grant narrative and related supporting documents. Collaborate with relevant departments to gather and analyze organizational, financial, budgetary, and programmatic information for grant submissions and reports. Support the Director of Development in creating grant budgets that meet funder requirements and align with internal fundraising and accounting practices. Manage donor data in Raiser’s Edge, including creating profiles, making profile edits, running queries, generating reports, and gift processing. Provide administrative support for invoices, check requests, and file organization for the Development department. Conduct donor and foundation research to identify new funding opportunities and support cultivation strategies. Assist in implementing annual giving plans and fundraising strategies developed by the Director of Development and Development Team. Support the Development Team in executing in-person fundraising events by managing logistics, coordinating guest lists, organizing materials, and assisting with event operations, vendors, donor communications, and volunteer coordination. Maintain strict confidentiality of donor, client, and organizational information. Additional duties as assigned by direct supervisor. Education and Experience Requirements: Bachelor’s degree required. 1-3 years’ experience in fundraising/development, grant writing, customer engagement, high-touch hospitality, or sales required. Knowledge and Skills: Must have a heart for students. Be role models for students regarding life-long learning and professional behavior. Exceptional written communication skills with the ability to synthesize complex ideas into cohesive, compelling narratives. Strong attention to detail and highly proficient organizational and project management skills. Ability to work independently, manage multiple priorities, and meet external deadlines. Collaborative, proactive, solutions-oriented mindset; comfortable working cross-departmentally. Desire to continuously learn and grow as a grant writer, operations lead, and fundraising professional. Must have reliable and consistent transportation. Ability to work occasional nights and weekends, especially during gala season or peak fundraising periods. Physical requirements include standing, sitting, typing, bending, driving, and lifting up to approximately 25 lbs. Modification to work schedule may be made based on needs of the Academy. Possess a valid California driver’s license and proof of automobile insurance. Position requires DMV clearance.
