Position Summary The Development Coordinator supports the planning and execution of residential and mixed-use development projects across all stages of the development lifecycle. The role reports to the Director, Development and works closely with the Development Manager, who will provide day-to-day direction and oversight. This position plays a key coordinating role between internal teams and external consultants, supporting design, approvals, financial analysis, and project documentation. It is well suited to a detail-oriented, motivated professional who is building a career in real estate development and is seeking exposure to complex projects within a collaborative, mission-driven organization.   Development Coordinator – Key Responsibilities Development & Project Coordination * Support the Development Manager with day-to-day development activities and assist in advancing projects through the development process. * Coordinate, attend, and document meetings involving Development and Construction teams, including tracking action items and follow-ups. * Track key project milestones, deliverables, and approval timelines across multiple active projects. * Monitor and maintain logs of development-stage risks, action items, and outstanding conditions. * Support coordination between Development and Construction teams during project transitions. Design, Consultants & Approvals * Assist with the coordination and management of the full project consultant teams * Assist with the preparation, coordination, and submission of municipal approvals and permits, including rezoning, development permit, and building permit applications. * Track approval conditions, consultant deliverables, and municipal correspondence. * Support the preparation of materials for public meetings, stakeholder engagement, and project presentations. * Research and summarize relevant planning policy, regulatory changes, and market information as required. Financial & Due Diligence Support * Support the preparation, review, and ongoing maintenance of development pro formas, project budgets, and schedules. * Liaise with the accounting department and external consultants to process, track, and reconcile invoices and development budgets. * Assist with coordinating third-party costing reviews, due diligence activities, and feasibility analysis. * Provide regular status updates to the Development Manager on assigned tasks and budget tracking. Agreements, Procurement & Documentation * Assist with the review, coordination, and execution of legal agreements and development-related contracts. * Support consultant procurement processes, including requests for proposals, evaluations, and contract administration. * Maintain accurate, organized, and up-to-date project files, approval documentation, and correspondence. * Assist in the preparation of briefing materials, reports, and presentations for senior management, project partners, and funders. Funding & Proposals * Assist with the preparation of responses to Requests for Proposals (RFPs). * Support the preparation and coordination of project funding applications and related submission materials.   Skills & Requirements * Degree or Diploma in industry-related field, or a minimum of two years of relevant industry experience * Strong written and verbal communication skills, with the ability to communicate clearly and professionally * Proven ability to work effectively in a collaborative, team-oriented environment * Demonstrated analytical, research, and problem-solving skills * Ability to manage a substantial workload, prioritize tasks, and meet deadlines in a fast-paced environment * Strong organizational skills with a high level of attention to detail * Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Project * A proactive, self-motivated approach with a genuine interest in non-market real estate development * This role requires frequent driving within Southern Vancouver Island; a valid driver’s license is required   Considered an Asset * Familiarity with municipal planning and approval processes in British Columbia * Experience coordinating consultant teams and tracking deliverables * Exposure to affordable, rental, or mixed-use housing projects * Experience working with public-sector or non-profit partners (e.g., BC Housing, CMHC, municipalities, non-profit housing providers) * Basic understanding of development proformas and project financials * Experience preparing reports, briefing notes, or presentation materials for internal or external stakeholders  This is a general description of the duties and skills required and may be modified to meet the evolving needs of the organization.
