Description SUMMARY: The part time Data Specialist supports the Development team’s gift processing and data system operations. This part-time role is essential to maintaining accurate donor records, ensuring timely gift processing and acknowledgement, and supporting donor stewardship efforts that fuel our mission to serve our community. Working closely with the Database & Analytics Manager, this position will handle the operational backbone of our fundraising database, ensuring every donation is recorded accurately and reconciled properly. Requirements DUTIES/RESPONSIBILITIES Weekly Operational Tasks: Enter and verify donor gifts from checks, online transactions, and other external platforms into DonorPerfect database. Reconcile online transaction records with database entries for accurate financial reporting. Maintain and communicate updates to Check Log for proper liaison with the Finance Department. Process Soft Credit and Contact imports from external platforms into DonorPerfect. Other duties as assigned. Donor Acknowledgement & Stewardship: Prepare accurate and timely donor acknowledgement letters for mailing within 5 business days of donation. Generate a merge file, print, and route acknowledgement letters for signatures as required. Prepare Check Log Details & Thank You Calls Report for proper donor stewardship. Respond to gift attribution update requests. Reporting & Quality Assurance: Assist with data quality checks to ensure database integrity. Flag discrepancies or errors for review. Monthly, Quarterly, and Annual Projects: Conduct email blast and direct mail list quality reviews. Review and update pledge records to track payment progress monthly. Generate and distribute quarterly tribute letters (In Honor/In Memory of notifications). Generate and prepare Bi-Annual Pledge Reports and Year-End Tax Statements for donors. Maintain mailing list after Direct Mail drops, updating addresses in DonorPerfect using NCOA report from print house. Support requests for information before & during the financial audit. Collaboration & Communication: Work closely with Database & Analytics Manager to maintain data entry protocols and Standards of Practice. Participate in database training and process improvement initiatives. Coordinate with the Finance team on gift reconciliation and reporting needs. Support the Development team with ad-hoc data requests and special projects as assigned. KNOWLEDGE, SKILLS, AND ABILITIES Education & Experience: A bachelor's degree or equivalent work experience is preferred. 1 - 2 years of work experience in an administrative or data-heavy role is required. Personable and trustworthy; must respect and maintain donor confidentiality. Technical Skills: Customer Relationship Management (CRM) system and research/reporting skills required. Familiarity with donor database software and Microsoft Office Suite preferred. Creative and innovative mindset with strong computer skills in Google, MS Office, and donor software (like DonorPerfect preferred). Excellent problem-solving skills Core Competencies: Exceptional Attention to Detail: Gift processing requires accuracy to maintain donor trust. Strong Organizational Skills & Flexibility: Ability to manage multiple deadlines and priorities effectively while maintaining professionalism. Reliability and Consistency: Donors and the team depend on timely acknowledgement and gift processing to properly steward our donors. Personable & Trustworthy: Must respect and maintain donor confidentiality. Collaborative Mindset: Willingness to support team goals and communicate proactively with colleagues. Clear Communication: Excellent written and verbal communication skills. PHYSICAL REQUIREMENTS Sitting for extended periods while entering and maintaining data. Occasional lifting and carrying up to 25 lbs. WORK ENVIRONMENT The work involves typical physical activity associated with an office environment. Part-time schedule: 20 hours per week. Schedule flexibility may be required during peak fundraising seasons (year-end giving, special events/campaigns). Occasional remote work may be possible after the initial training period (at supervisor’s discretion).
