Description

ABOUT US

We are UCL: a diverse community with the freedom to challenge and think differently. From cancer research to climate change, dementia to social inequality, the world is facing huge challenges and we’re determined to solve them.
There has never been a more exciting time to join the Advancement office as we plan for our biggest ever fundraising and engagement campaign and support the delivery of the bicentennial programme in 2026. We are a team of exceptionally ambitious, creative and passionate individuals who work together to achieve remarkable things with a global impact, and we would love for you to be part of this exciting journey and our success.
Equity, diversity and inclusion is important to us. We are committed to creating an environment where everyone is encouraged to give their best in a place where their unique experiences, perspectives and skills are seen as valuable assets.

ABOUT YOU

The VPA has a complicated and demanding schedule, and this is an exciting opportunity for someone who is experienced and accomplished in supporting a senior leader in a fast-paced environment. We are seeking someone highly collaborative who thrives in a complex organisation, enjoys problem solving and working in a close team.
You will have excellent communication skills, both verbal and written, together with excellent interpersonal skills, with the ability to liaise with a diverse range of people in a discreet and diplomatic manner. Your key strengths will be your versatility, attention to detail and high level of accuracy whilst remaining calm under pressure as priorities shift at short notice.
We are pleased to accept applications from individuals who possess transferable skills and experience drawn from sectors outside of Higher Education.

Responsibilities

ABOUT THE ROLE

As a Diary Manager you will be responsible for managing the diary and time of the Vice-President Advancement (VPA) and you will have a key role to play in ensuring the VPA has all the information and support to fulfil her duties and commitments in an efficient way. Reporting to the Senior Executive Officer in the Planning & Performance team, you will form an integral part of a close-knit team. Working closely with the VPA’s Executive Assistant you will prioritise requests for the VPA’s time and highlight any potential clashes and offer solutions.
You will form strong relationships within and across teams to support the VPA in the management of her time and to understand the motivations and priorities when populating the diary. You will use your own initiative to ensure a healthy balance across the full range of commitments and requirements.
The role requires the ability to absorb complex information and the judgement to prioritise both internal and external commitments and liaise tactfully with often high-profile stakeholders.
We are happy to consider applications to work on a flexible basis wherever possible.
This role is eligible for hybrid working with a minimum of 20% on. Please note Tuesdays are our in-office anchor day for all Advancement members.
