About the Role The Director of Facilities & Capital Projects provides strategic and operational leadership for all maintenance operations, vendor partnerships, and capital improvement projects across the ArtHaus portfolio. This role is accountable for physical asset health, SLA compliance, vendor performance, and capital project execution across residential and commercial properties. The Director oversees a regional network of Service Managers and maintenance teams, ensuring operational readiness, preventive maintenance, and adherence to brand standards. Working closely with Asset Management, Development, and Regional Operations, this position ensures every property operates efficiently, safely, and sustainably. Portfolio Scope: ~10,000+ units across multifamily and mixed-use assets. Primary Responsibilities Maintenance Operations Leadership Lead all maintenance and building system operations across the portfolio, including service requests, unit turns, and preventive maintenance schedules. Ensure SLA targets are consistently achieved: emergency ≤2 hours, non-emergency ≤48 hours, and unit turns ≤5 business days. Standardize maintenance workflows within Yardi and EliseAI, ensuring accurate tracking and reporting. Review weekly maintenance dashboards and identify trends, recurring issues, and process improvements. Ensure all properties maintain compliance with safety, environmental, and operational standards. Vendor & Contract Management Own and manage all recurring vendor contracts (HVAC, janitorial, landscaping, fire/life safety, pest control, etc.). Negotiate, onboard, and evaluate vendor performance through defined SLAs and KPI scorecards. Maintain centralized vendor records, certifications, and insurance compliance. Audit invoices and service frequency for cost control and performance accountability. Capital Projects & Construction Oversight Partner with Asset Management and Development to plan, budget, and execute capital projects, renovations, and system upgrades. Oversee all CapEx and improvement work to ensure quality, budget adherence, and timely completion. Develop scopes of work, solicit bids, and ensure contractor compliance with company standards. Maintain a central repository of CapEx projects with real-time progress tracking and variance reporting. Property Onboarding & Transitions Lead the maintenance integration process for new property acquisitions and developments. Standardize property onboarding into Yardi Maintenance and vendor platforms. Train new site and service teams on ArtHaus preventive maintenance protocols, inspection routines, and safety standards. Coordinate with Regional and Area teams to ensure seamless transition into ongoing operations. Sustainability & Utility Efficiency Monitor utility consumption and identify efficiency opportunities across all assets. Implement energy and water conservation initiatives to reduce operating expenses and environmental impact. Partner with Development and Property Ops to integrate sustainability measures in design, procurement, and retrofits. Maintain energy benchmarking and sustainability reporting for the portfolio. Team & Process Leadership Lead and develop Service Managers, Maintenance Supervisors, Technicians, and supporting staff. Create, implement, and maintain SOPs for maintenance, inspections, safety, and quality control. Drive a performance culture through clear KPIs, coaching, and accountability reviews. Foster collaboration between field teams, central systems, and operations leadership. Work Environment Hybrid corporate and field-based role; travel required between properties and regional hubs. May require evening or weekend work during project peaks or emergencies. Expected to maintain a professional presence and uphold company brand standards. Qualifications 10+ years of experience in multifamily maintenance and/or construction management, with at least 5 years in a leadership capacity. Proven track record managing large-scale portfolios and multi-site teams. Strong knowledge of building systems (HVAC, plumbing, electrical, life safety). Experience managing CapEx budgets and vendor contracts. Proficiency in Yardi Maintenance, EliseAI, and project tracking software. Strong analytical, organizational, and leadership skills. Bachelor’s degree in Engineering, Facilities Management, or related field preferred. Certifications such as CAMT, CFM, or PMP a plus.
