Description WHAT YOU WILL DO Provide a Positive First Impression Answer phone calls in a professional manner by the third ring Direct calls to the appropriate associate Maintain general knowledge of associate movements in and out of the office Welcome all visitors, offer something to drink, and alert appropriate associate Maintain orderliness of lobby area and conference rooms Provide light cleaning of lobby area, conference rooms, copiers, and supply areas Coordinate use of the conference room and flex work stations Maintain an organized work environment, including desk, files, electronic folders and documents, email, voicemail, etc. Sort and scan mail for distribution to associates; address and postmark outgoing mail; maintain the postage meter Maintain inventory of office supplies, ordering as necessary Collect papers to be shredded and dispose in shred bins Assist with travel arrangements, meeting details, lunch orders, etc. Record holiday and office closure greetings into phone system Participate in scheduled department meetings Set and achieve performance goals Offer Administrative Support Administrative support with the coordination of client accounts, including answering phones, processing incoming and outgoing mail, and organizing client documents Assist Advisors with marketing initiatives Assist with general data entry projects Assist or expedite mass mailings as needed Utilize general computer skills to download, scan, copy, and file documents Process statements for checks, deposits, and commissions Monitor and distribute incoming faxes throughout the day Timely and accurate completion of tasks, basic product knowledge Maintain orderly electronic files and information in accordance with agency standards Maintain confidentiality of sensitive information Assist sales advisors with facilitating Surety bonds (training provided) Other duties as assigned WHAT YOU WILL ENJOY ABOUT BEING AN ASSOCIATE Company paid Voluntary Life and Short-Term Disability insurance Comprehensive employee benefits package (medical, dental, vision, life, and disability insurance) 401(k) match & company match Paid Time Off & Birthday PTO HSA or FSA Licensure assistance Security of working for a stable, independent agency with a defined path for internal succession A supportive team environment that celebrates success Positive work-life balance Requirements Excellent customer service and interpersonal skills Verbal and written communication skills Ability to prioritize tasks and organize effectively Willingness to obtain Property & Casualty insurance license within the first 60 days of employment (Assistance provided)
