Role Summary: The Director of First Impressions is the first point of contact for all patients and visitors entering our clinic. This role is essential in creating a warm, professional, and efficient experience that sets the tone for the patient’s visit. The receptionist is responsible for greeting and checking in patients, ensuring that demographic and contact information is accurate and up to date, and directing patients to the appropriate areas and personnel within the clinic.

QUALIFICATIONS:

  • Applicants with an MA will be given priority.
  • High school diploma or equivalent required; additional education or certifications in healthcare administration or related fields preferred.
  • Previous experience in a customer service or front desk role, preferably in a healthcare setting.
  • Excellent communication and interpersonal skills.
  • Proficiency in using EMR/EHR systems and basic computer applications.
  • Strong organizational skills and attention to detail.
  • Ability to maintain a calm and professional demeanor in a fast-paced environment.

Responsibilities
  • Warmly greet all patients and visitors upon arrival.
  • Check patients in for scheduled appointments in a timely and accurate manner.
  • Notify appropriate medical or administrative staff of patient arrival.
  • Summon support staff to take vitals when needed.
  • Direct patients to the correct location or waiting area.
  • Verify and update key patient details in the EMR/EHR system.
  • Flag incomplete or outdated information for follow-up.
  • Maintain a friendly, calm, and professional demeanor at all times.
  • Help create a positive first and last impression for patients.
  • Occasionally assist patients at check-out with next appointment details or rescheduling.
  • Offer simple information handouts or directions as needed.
  • Answer incoming phone calls as needed, prioritizing in-person patient interactions.
  • Route calls and messages appropriately if not able to resolve.
  • Maintain front desk area in an organized and welcoming manner.
