POSITION DESCRIPTION:
The University of Louisville School of Medicine is seeking a dynamic and experienced professional to serve as the Director of Medical Student Affairs. This senior leadership role is responsible for the strategic oversight and daily operations of key student services, including financial aid, student programming, career planning, academic registration, and student advancement. The Director of Medical Student Affairs is responsible for overseeing key administrative functions within the medical school. This role ensures a seamless, supportive, and enriching experience for all medical students throughout their academic journey. Reporting to the Senior Associate Dean for Student Affairs (or equivalent), the Director provides strategic direction, operational management, and collaborative leadership across multiple departments and services and is an integral part of the School of Medicine’s accreditation process.
Essential Responsibilities
- Leadership & Strategic Oversight
- Provide visionary leadership for student-facing services and programs across the medical student lifecycle, from matriculation to graduation.
- Lead and supervise a team of professional staff supporting student services in programming, financial aid, registration, and career advising.
- Develop and implement policies, procedures, and strategic initiatives to enhance the student experience.
- Collaborate with faculty, deans, and administrative offices to ensure alignment of student services with institutional goals and national accreditation standards.
- Manage the Medical Student Affairs budget, including all travel expenses for faculty, staff and students.
- Make decisions in the absence of Senior Associate Dean for Student Affairs.
- Engage with external stakeholders, such as Greater Louisville Medical Society to enhance programming and collaboration and develop community relationships.
- Serve on the School of Medicine Liaison Committee on Medical Education (LCME) Continuous Quality Improvement committee to ensure successful accreditation and compliance with all standards related to Medical Student Affairs.
- Student Advancement & Support
- Manage the Student Promotions Committee and related communication. Coordinate advancement and graduation reviews.Counsel medical students through the process of meeting with the Student Promotions Committee.
- Work closely with faculty advisors and committees to support students encountering academic or personal challenges.
- Oversee comprehensive systems to assess and track student performance.
- Serve as staff advisor for ULSOM Medical Student Council.
- Serve as an ex officio member of both Medical School Admissions Committee and Education Program Committee.
- Financial Aid Oversight
- Manage medical student financial aid operations in coordination with central financial aid offices.
- Provide strategic guidance on aid policies, scholarship disbursement, debt management, and student support resources.
- Career Planning and Development
- Oversee delivery of comprehensive career advising and residency preparation programs.
- Support students in developing individualized career plans and understanding the residency match process.
- Attend annual AAMC Learn Serve Lead national meetings as well as AAMC Student Affairs meetings .
- Academic Records & Registration
- Ensure accurate and timely medical student registration, course scheduling, and academic record-keeping in collaboration with the University’s Registrar office.
- Student Life & Programming
- Direct student engagement initiatives, wellness programs, orientation, and other co-curricular activities.
- Oversee and approve the budgets for the Advisory Dean Program, Honors Convocations, White Coat Ceremony and SOM Graduation events.
- Foster an inclusive, respectful, and supportive learning environment.
Preferred Qualifications:
- Master’s degree in Higher Education Administration, Student Affairs, Public Administration, or related field required.
- Minimum 7-10 years of progressive experience in higher education administration, preferably in a health professions or medical school setting.
- Demonstrated leadership experience managing teams, budgets, and complex student services.
- Deep understanding of student development theory, FERPA, Title IX, and accreditation standards (e.g., LCME).
- Strong interpersonal, communication, analytical and problem-solving skills.
