Job Details Job Location: Sacred Heart Schools Atherton - Atherton, CA 94027 Position Type: Full Time 12 - Month Schedule of Duties Salary Range: $150,000.00 - $175,000.00 Salary/year Position Title: Director of Operations FLSA Classification: Exempt, 100% FTE, 12 month schedule of duties Reports to: Director of Schools Position Purpose: Manages organization operations by directing and coordinating activities consistent with established goals, objectives, and policies. Follows direction set by Director of Schools and Board of Trustees. Develops and implements programs to ensure attainment of goals. Provides direction and structure for operating units. Participates in developing policy, budgets and strategic plans. Specific Expectations for employees serving on the Schools Administrative Council: In addition to duties and essential job functions listed in job descriptions, the following responsibilities are expected of all employees serving on the Schools Administrative Council: Professional development as required and approved by your Director of Schools, work beyond your regular hours when required and approved by your supervisor, and attendance of, or participation in, mandatory meetings and/or events as directed by your supervisor including but not limited to the 1898 Society Dinner, the Annual Auction and Board of Trustees meetings and retreats, and SAC meetings and retreats. Responsibilities associated with emergency situations, risk management and general support of the Schools and school programs. Professional demeanor and attire suiting your area of work and with the knowledge that you are a representative of the Director of Schools and Sacred Heart Schools, Atherton. All employees will be paid appropriately and according to current law. This position requires work outside of the normal work schedule. Essential Functions Responsible for staff hiring and supervision with the support of HR per established protocol and policy. Network with Directors of Operations from other independent and Network schools. Keep the Director of Schools fully informed on all Operations issues and support the school and its leadership. Demonstrate a clear commitment to the educational philosophy of the school as articulated in the Goals and Criteria of Sacred Heart Schools and actively uphold and model personal and professional behavior based on it. Actively participate on the Schools Administrative Council (SAC). Oversee Facilities Use Policy- develop and post the facilities use policy in conjunction with the CFO. Scheduling-develop and implement a process for scheduling the use of facilities. Summer Camp –work with CFO and Camp Director for type and time of use of facilities for camp. Facility Maintenance Preventative Maintenance/Deferred Maintenance (PM/DM) Schedules. Research and implement best technology for PM/DM programs. Master Plan (MP)for use of Facility Responsible for annual update and submission of MP to town of Atherton. Work with Administrative team to determine changes to the MP. Construction Project Management Acts as owner’s representative- meet with contractor(s) and review all construction work to ensure it meets aesthetic, engineering, schedule and code requirements. Acts as designate for state, county, town relationships- work with city, town or state agencies to ensure all work conforms to codes, regulations, design guidelines, planning; file all required permits and reports with appropriate agency. Responsible for coordination with budget issues- perform cost/risk analysis and ensure fiscal responsibility within the limits of operations management. Liaison with Town of Atherton, San Mateo County Responsible for developing a working relationship with the Town and other local government agencies with whom the School will interact. Annual Master Plan Update due to Town usually in the spring. Annual Traffic Count usually conducted in the spring. Conditional Use Permits: certain projects will require a CUP. Responsible for preparing and delivering required applications and reports as well as an in person presentations. Primarily responsible for determining the need for building permits for on campus projects. Acts as the contact person for San Mateo County Office of Education- Safe Routes to School; San Mateo County Environmental Health for Hazardous Materials Plan (HMBP); San Mateo County Board of Equalization (Hazardous Materials Waste.) Coordinates with the Menlo Park Fire District regarding annual inspections and emergency preparedness. Coordinates with Atherton Police – emergency preparedness. School Wide Equipment Office equipment, copiers, furniture-regularly assess SHS needs and ensure needs are met. Review contracts for rental of all equipment utilized by school. Vehicles- Oversee the requirements/needs for school wide vehicles: Fleet- Review lease/purchase contracts for vehicles. Responsible for making sure that registration, upkeep of all vehicles is properly maintained and documented. Director’s Car-Negotiate lease/purchase. Bus Service- negotiate service. Safety & Emergency Program Safety review & notices-regularly review all grounds, facilities, and construction areas for possible hazards and take appropriate action to ensure safe environment for all students, staff and visitors to SHS campus. Emergency planning and response-develop, implement and maintain an emergency response plan for fire, earthquake, hazardous material contamination and violence against students, staff or visitors to SHS campus. Campus wide training- take a proactive approach to safety that includes training programs for students, faculty and staff. Instruct on alerts and warnings of possible dangers and procedure for immediate actions and contacting emergency response personnel. Budget Development- work with CFO to determine an appropriate budget for the requirements of the department. Deferred/Preventative Maintenance/PPRSM- ensure that appropriate amount of funds are transferred to this account and that the work is accomplished as designed in the deferred maintenance schedule. Review of expenditures-monitor expenses and pre approve purchases. Personnel Program Contact Matrix- (Who, What, How) maintains a 24x7x365 contact matrix for availability to respond to operational issues and post how to contact the appropriate response person. Skills & Experience Gap Analysis- evaluates all operations’ staff and determines what skills and experience levels are needed to meet the goals of operations and SHS. Staffing- determine the needs for the school facilities and determine the appropriate number staff members needed Record Retention. Storage Facility-determine appropriate Storage Company with whom to contract for school records. Shredding of documents –inform school personnel on what needs to be stored and the process for sending materials and retrieving records. Risk Management Keep Director/BOT informed of all inherent risks associated with facilities, health & safety, security, natural disasters and/or manmade threats. Sustainability and energy use. Oversee committee to work on campus initiatives. Traffic reduction/bike/walk to school. Recycling/composting and paper reduction. Green page for web site. RSCJ relations Annual review of rental agreement. Work with Network representatives regarding apartments, Gatehouse and Oakwood. Assist Director of Schools with projects as needed. Qualifications Ten years of related managerial/technical work experience is required. Related experience could entail construction, plant engineer, or facility management, or military duty. Proven personnel management skills and contractor management experience, with aptitude to judge quality of performance in all major technical trades and personal experience in at least one technical trade (carpentry, mechanical, electrical, structural). Technology user skills sufficient to prepare reports in Excel and Word, and aptitude to operate BAS (building automation system). Related experience with database sufficient to comfortably apply the CMMS features. CAD experience is a plus. Communication skills (oral and written) and confidence in conveying information to all types of members of the community, including teachers, administrators, trustees, parents, and students and the community. Ability to adapt behavior to function effectively in the institution’s culture, including those specific to the tradition of the school. Commitment to the institution’s needs and readiness to respond 24/7/365 as reasonable and necessary. Excellent ethics and integrity in all aspects of performance. College or trade school degree or equivalent experience required, preferably in one of the following disciplines: Industrial Management, Construction Management, Civil, Mechanical or Electrical Engineering, or Architecture. Physical Requirements and Work Environment Frequently lift equipment and materials weighing 50 pounds or more. Crawl, climb ladders, twist, turn and reach in completing a variety of job duties. Work outside in hot or cold conditions for extended periods of time. Work in wide variety of environments as found in all areas of the school including the roofs.
