We are in search of an exemplary candidate to fill the pivotal role of Director of Operations and Procurement.
The ideal candidate will demonstrate an unwavering work ethic coupled with a profound passion for Residential Interior Design. We value collaboration, and thus, seek an individual with a penchant for teamwork. In addition, impeccable organization and presentation skills are paramount for this role. Design knowledge or training is an asset but not mandatory.
As the Director of Operations and Procurement, you will play a pivotal role in fostering HB Design’s continued success. Your responsibilities will encompass a diverse array of tasks, including overseeing designer support, serving as a conduit between HB Design and our valued clients, and adeptly managing office & procurement operations to uphold the efficiency and excellence of our business endeavors.

SKILLS & QUALIFICATIONS:

  • Experience: Degree/diploma + 2-3 yrs in design/sales, basic bookkeeping.

Responsibilities:

GENERAL DUTIES:

  • Maintain office supplies and equipment
  • Manage software subscriptions
  • Coordinate office maintenance and services
  • Welcome clients, suppliers, and couriers professionally
  • Handle mail and book couriers
  • Manage emails and inquiries
  • Keep kitchen and bathroom stocked
  • Attend staff meetings and participate
  • Set up and maintain trade accounts
  • Coordinate with technical support
  • Assist with employee onboarding
  • Maintain records of stock products
  • Prepare project summary reports
  • Generate required reports
  • Record and track employee time
  • Assist with client contracts and profiles

PROCUREMENT DUTIES:

  • Help the design team with pricing furniture and lighting
  • Prepare proposals for client approval
  • Place product orders using software and track them
  • Review and confirm order acknowledgments
  • Send fabrics to the workroom
  • Inspect received products for accuracy and damage
  • Coordinate with suppliers/designers for damaged items
  • Maintain and update delivery schedule
  • Arrange deliveries to client homes or storage

BOOKKEEPING AND FINANCIAL MANAGEMENT DUTIES:

  • Coordinate with a third-party bookkeeper - knowledge/experience with Quickbooks software is required.
  • Oversee quarterly reviews with management
  • Invoice clients monthly and collect receivables using Quickbooks software
