Description This role is ideal for an experienced operations leader who thrives in hands-on environments, enjoys building systems that support people, and is passionate about advancing mission-driven work. Caldera’s Director of Operations will have two direct reports with the Senior Property Manager and HR Manager reporting into them. Caldera’s Director of Operations works to ensure efficient operation and use of Caldera’s facilities and surrounding land and lakefront and will work with the Senior Property Manager and team to plan, direct, and implement maintenance and repair of the property (all fixed and natural assets and equipment). They will also be in charge of overseeing all People and Culture related matters and partner with the HR Manager on all things related to onboarding, talent development, benefits, and performance reviews. This position works collaboratively with year-round and seasonal staff, long standing stakeholders, volunteers, and contractors. The person in this position will serve as one of the emergency contacts for scheduled on-call hours, during which they will be required to be within a one hour radius of Caldera. This position is crucial to the fulfillment of Caldera’s onsite programs. The person in this position will occasionally need to travel to Portland for board and staff meetings and other outreach activities as needed. While performing the duties of this job, the Director of Operations will regularly be required to work at a computer, make phone calls, lift up to 50 pounds, engage in physical review of buildings and building systems, walk on uneven surfaces, use maintenance equipment and travel to Portland. Primary Duties and Responsibilities: Caldera Land Stewardship and Facilities Operations (40%) Direct the Senior Property Manager to determine and implement the overall long-term maintenance plan of the Caldera facility in collaboration with Blue Lake LLC (landowners) and the Caldera Board Facilities Committee. Prepare a comprehensive long-range facilities and maintenance plan and budget, in collaboration with the Executive Director and the Board Site and Facilities Committee, to maintain, develop and grow program opportunities onsite at Caldera. Oversee insurance renewals, risk management and legal agreements as well as other documents and policies (including emergency evacuation procedures) needed to effectively manage Caldera. Work with the Senior Property Manager to ensure that Caldera values and commitment to racial equity are embodied in policies and practices onsite, including vendor vetting and selection. Team Management (30%) Oversee the HR Manager to ensure overall needs of employees are being met Work with the HR Manager to establish company policies, safety protocols, and procedures Oversee employee handbook updates, HR manual, forms, and agreements to ensure legal compliance Work with People and Culture team, that includes HR Manager and HREA to create job descriptions, assist in the hiring process as needed and oversee employee training programs Partner with the different departments to ensure new hire onboarding optimization Collaborate with human resources in launching the annual performance management process Work on identifying Operations People, Places and Culture team goals that align individual performance with Caldera’s mission Continue to look for ways to fill gaps between the different departments to ensure everyone is working toward the same operational goal while building standardized protocols for how information moves between teams Provide regular updates to the Executive Director and Board Site and Facilities Committee on matters pertaining to Caldera land stewardship and facility maintenance In collaboration with the Leadership Team: (30%) Work with the Executive Director to maintain a visible leadership presence in Central Oregon for all local staff, not limited to the Operations Place (aka Facilities) Team. Work with the Executive Director to maintain a visible leadership presence in Central Oregon community, including but not limited to attending regular community gatherings (i.e. C4C Community Building in Sisters, Bend Chamber networking events, Redmond community events.) Serve as a community builder in the Tri-county connecting potential donors to the Director of Advancement for donor cultivation and stewardship. Work with Executive Director and the leadership team to operationalize organizational equity lens in all aspects of human resources. Bridge organizational understanding between Portland Office and Central Oregon staff and engage Central Oregon staff in the full mission of Caldera. Oversee the HR Manager and HREA coordination and facilitation of performance evaluations and employee standards for all staff Lead and provide creative solutions to strengthen the organization’s culture. Build professional development plans and engage in courageous conversations with all staff. Serve as a strategic partner in maintaining organization policies and best practices. Requirements Required Qualifications: 5–8 years of operations experience, ideally in nonprofits, education, camps, resorts, outdoor programs, facilities management or youth-serving organizations Experience managing seasonal or cyclical operations (summer programs, retreats, events, or peak seasons) 5+ years of staff management and experience developing staff and team culture. Excellent project management and organizational skills Comfortable partnering closely with an Executive Director and serving as a trusted thought partner Experience working with individuals from diverse backgrounds Strong verbal and written communications skills The ability to contribute to on call duties, as needed, depending on manager and coordinator schedules, within one hour travel of Caldera The ability to occasionally work flexible hours including nights and weekends About you: High energy, positive, “can-do” attitude, flexibility, teamwork, and attention to detail; high degree of initiative and accountability Demonstrated ability to think strategically and work collaboratively and successfully with teams of staff, partners, and/or board members Proven ability to oversee day-to-day operations without requiring a large support team Player-coach mentality — comfortable rolling up sleeves while building structure Calm under pressure; able to manage unexpected issues during peak program times Values-driven decision-maker who aligns operations with mission, not just efficiency
