Description Summary: Dispatch team members are responsible for coordinating deliveries to customers and job sites as well as supporting Installation Scheduling. This role reports to the Operations Manager and will support other Dispatch and Scheduling team members. ESSENTIAL DUTIES: Payment Collection Coordinate and track collection of builder and homeowner payments per contract terms. Ensure payment is received prior to scheduling installation or routing delivery when applicable. Communicate with accounting and sales teams to verify balances and update project records. Site Inspections & Job Readiness Schedule and coordinate new construction site inspections to verify openings, framing, and job readiness prior to installation. Trade R/R (Repair/Replace) Scheduling Coordinate and schedule trade replacement work as needed. Communicate scope of work, to OV techs Installation Coordination Schedule installations for Pella windows and doors in coordination with builders, project managers, and installation crews. Confirm material availability, delivery dates, and crew readiness prior to scheduling. Maintain accurate installation calendars and adjust schedules as needed to meet builder timelines. Communicate job details, safety requirements, and any special instructions to installers. Post-Inspection Scheduling Schedule post-installation inspections to ensure all work meets Pella quality standards and builder expectations Final Inspection & Hardware Installation Schedule final inspections to confirm that all installation and hardware work meet Pella’s quality standards and builder expectations. Communication and Hours of Operation As this role works with contractors and key players in the construction field it requires the ability to work within a 6am-5pm window of operating hours. Requirements Qualifications: Strong interpersonal skills with the ability to create a positive, motivating work environment. Self-motivated, disciplined, and results-driven. Collaborative team player Construction, installation, or residential remodeling experience desirable. Experience with Salesforce, OMS, PQM, and MS Office preferred. Experience in construction coordination, scheduling, or project management (window and door experience preferred). Strong organizational, time management, and multitasking skills. Excellent communication and customer service abilities. Review completed delivery documents for accuracy and follow up on any issues. Other duties as directed by Management. A minimum of 1 years relevant work experience in a fast paced office environment. Able to perform accurate work in a timely manner following Company policies. Proficient use of Microsoft Office Programs (Word, Excel, and Outlook). Strong verbal and communication skills. Able to multi-task while maintaining a high quality of work. Able to work in team environment.
