Part Time (16hrs), Saturday and Sunday, Day Shift (7:00am- 3:30pm) Roles and Responsibilities Reception • Greeting visitors and directing them to the appropriate person or office. • Answering and making phone calls on behalf of office employees. • Handling office correspondence and queries via phone, email, and general correspondence. • Keep updated records of office expenses and costs to include tracking of front office expenses such as supplies, equipment, and utilities. • Performing various clerical tasks, such as faxing, transcribing, filing, copying. • Sorting and distributing mail, incoming packages, and deliveries. • Assist with scheduling appointments for clients, customers, or employees and maintain appointment calendars to include sending reminders to clients, customers, or employees. • Delivering exceptional customer service assistance and providing an overall welcoming environment. Security Dispatcher • The security dispatchers' main function is to answer the phone and/or watch monitors to identify potential threats and disturbances and dispatch aid according to need. • Security dispatchers analyze the severity of security threats or disturbances before calling for backup police, firefighters, or medical personnel, to ensure a speedy response. • Gather information about an incident, relay it to the appropriate officer, follow up to ensure that Calls for Service are cleared, file reports on all security incidents. • Be proficient in and perform all 3 Dispatcher Tasks throughout the day.          1. Communications - Answering and assisting with client and employee calls, routing calls, documenting calls for service, contacting officers as needed and coordinating a security response to a call for service. Monitor the TrakTic incident management board and GPS patrol vehicle tracking system.          2. Computer Aided Dispatching – Be thoroughly familiar with TrakTic, Silvertrac, Makeshift and Asana web-based programs.          3. Help Desk – Assist field officers with technical issues they may be having with app programs needed for performing their job (TrakTic, Makeshift) Operations Support • Access control into the office and maintaining office security by following safety procedures and controlling access. • Maintain, issue, and receive patrol driver equipment. Administrative Support • Scheduling and coordinating logistics for meetings and events. • Organizing and managing calendar/schedule for manager and/or department. • Preparing documents and reports, compiling records, filing, photocopying, faxing. • Assisting in the preparation of client project reports. • Tracking actions, headcount, spending, and other data. • Providing backup support to other departments and teams when necessary. • Picking up equipment, supplies and documents. Education & Experience Requirements Two (2) years of administrative office support experience required.  High School Diploma, GED, or equivalent is required.  Must be alcohol and drug free and willingly submit to periodic drug testing.
