Responsibilities

ROLE OVERVIEW:

The Dispatcher at Heaton Erecting, Inc. is responsible for coordinating and scheduling all crane and rigging operations to ensure the efficient use of personnel, equipment, and resources. This role is central to daily workflow, job preparation, and problem-solving, helping projects run safely, efficiently, and on schedule. The Dispatcher serves as the primary link between the Operations team, field crews, and clients, and reports directly to the Operations Manager.

KEY RESPONSIBILITIES:

  • Ensure dispatch communications and actions reflect professionalism, accuracy, and customer focus.
  • Contribute to operational excellence through proactive scheduling, resource management, and continuous improvement.
  • Scheduling & Deployment
  • Coordinate daily and weekly scheduling of cranes, operators, riggers, and support equipment.
  • Receive, review, and process incoming job requests; match the correct crane, crew, and rigging gear to each project.
  • Optimize resource allocation by considering equipment availability, crew certifications, timelines, and logistics.
  • Adjust assignments quickly when jobs are added, rescheduled, or delayed.
  • Job Documentation & Logistics
  • Prepare and distribute job tickets for all jobs, ensuring details are accurate and complete.
  • Maintain job records with relevant information including crane type, job description, site contact, and billing notes.
  • Ensure all necessary permits, route approvals, and outside trucking arrangements are secured before mobilization.
  • Coordination & Communication
  • Serve as the main point of contact between the Crane & Rigging Coordinator, field crews, and clients regarding job status and scheduling.
  • Communicate changes promptly to operators, riggers, mechanics, and supervisors.
  • Coordinate with Safety and Operations teams to ensure jobs are staffed with properly certified and qualified personnel.
  • Support on-call coverage and ensure smooth transitions when multiple dispatchers are involved.
  • Administrative Oversight
  • Track all dispatch activity, job details, and utilization of personnel and equipment.
  • Maintain accurate records of permits, customer requirements, and compliance documentation.
  • Provide reports to the Operations Manager on scheduling trends, equipment usage, and problem areas.
  • Problem-Solving & Flexibility


    • Respond quickly to unforeseen issues such as equipment breakdowns, personnel call-outs, or weather delays.

    • Reassign crews and equipment to minimize downtime and meet client deadlines.
    • Collaborate with the Operations Manager on contingency and corrective action planning.
