  • At least 1 year of admin and customer service experience
  • 1 - 3 years of industry experience highly preferred but not necessary depending on skills

  • Establish and maintain cooperative working relationships with those contacted through the course of work; gain cooperation through discussion and persuasion

Responsibilities

POSITION SUMMARY / PURPOSE

Your main purpose is to make certain that customers are happy and satisfied with the job performed by our team at Dreyer’s DKI, and to support the administrative functions in the office. This position is in charge of communicating with insurance companies when needed, sending damage reports, communicating and coordinating with our production team, answering all calls that come in for Dreyer’s DKI and Dreyer’s Carpet Care, setting up all jobs for Dreyer’s DKI and Dreyer’s Carpet Care, ensuring all information is up to date on all jobs, and more. You will work closely with customers and all members of the team to support policies and job functions that reinforce the core values and culture of the organization.

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • Answer front door when any walk-in clients or vendors approach the office.
  • Answer incoming phone calls for the production department, Carpet Division and assist clients with questions.
  • Set up jobs in our client management software (PSA) and notify the mitigation production crew to dispatch to the job site.
  • Create accurate notes on all jobs as needed in order to keep the file up to date.
  • Work in HouseCall Pro software to assist with intake of carpet/rug cleaning jobs and collect customer payments when services are rendered for the carpet department.
  • Assist with scheduling and setting up jobs for the carpet department as needed.
  • Assist the Production Manager for Billing and Dispatch and our Claims Advocate with all mitigation jobs.
  • Coordinate with other departments and office staff to complete projects, paperwork, and keep the processes timely for each project.
  • Process initial project information relating to certified payroll, billings and other pertinent project information.
  • Demonstrate a positive image of the company to clients.
  • Fantastic customer service with empathy and high-level attention to detail is a necessity.
  • Other duties assigned by your Manager.
