Job Description David Weekley Homes seeking an enthusiastic Administrative Assistant to support our Dallas-Fort Worth Division. This is an on-site administrative position based at our office in Carrollton, TX. The successful candidate will possess a strong work ethic, team-player attitude, great communication and computer skills contributing significantly to the Division’s organization and efficiency. Responsibilities include: Interface effectively with office and field team members, managers, and vendors Daily mail distribution, sorting, and shipping Order and maintain office supplies Coordinate office supplies, copier, printer, phone system, computers, office furniture, etc. Coordinate supply drop offs with field team Assist Coordinators with administrative tasks, such as electronic document management, answering phones, data entry, tracking metrics, generating reports and charts, updating lists and calendars, meeting or team event coordination and set up Process invoices for payment Assist with homebuyer packages and home closing process as needed Perform various tasks contributing to office organization and efficiency such as the upkeep of various systems/programs, filing, drafting communications, data entry, report generation and other duties as needed Manage/apply for various permits Pulling permits and interacting with local municipalities Review real estate contracts and assure legal documents are signed, complete and error-free Track homes sales and cancellations Maintain accurate electronic home files Monitor overhead expenses Other tasks as assigned Qualifications 2 years administrative support experience in an office environment Experience with the construction permitting process or homebuilding industry is a plus Proficient with MS Office (Outlook, Word, Excel, PowerPoint) Experience with JD Edwards is beneficial Extremely organized with a strong attention to details Ability to prioritize and multi-task in an extremely busy environment with numerous interruptions Ability to handle confidential material in a sensitive manner Excellent listening and communication skills by phone, email and in person Additional Information .
