We are looking for a highly organized and proactive Division Coordinator to support our Construction Department and ensure projects move efficiently from start to finish. This role serves as the central point of contact in the office, coordinating communication between clients, project managers, estimators, subcontractors, and insurance adjusters. The ideal candidate thrives in a fast-paced environment, is detail-oriented, and enjoys keeping projects on track while delivering excellent customer service. Schedule: Full-time, Monday–Friday Work Location: In-office only Responsibilities Serve as the main point of contact for office communication. Onboard new clients and assign Estimators and Project Managers. Communicate with insurance adjusters and monitor approval status of estimates. Coordinate and maintain job files to ensure project documentation is complete and up-to-date. Proactively manage schedules, assignments, and communication for subcontractors. Conduct Quality Assurance follow-up calls with clients. Meet weekly with Project Managers to review project status and request estimate supplements when needed. Work with internal team members to ensure final invoicing documentation is complete. Follow up with clients in a timely and professional manner. Identify opportunities to improve coordination processes and workflow efficiency. Support team collaboration and communication across departments. Requirements Prior experience in a related administrative, coordination, or customer service role preferred with a Construction background. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Ability to professionally communicate with clients, vendors, and insurance partners. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Detail-oriented with strong problem-solving skills. Ability to prioritize tasks and meet deadlines.
