Description Reports to: President Supervises: Wet/Dry Storage The dockage coordinator will be mainly responsible for the rental of wet and dry storage for the Marina. It is a highly responsible position for assisting individuals into a proper dock/space for their boat. This person will be one of the individual's first contacts with the Marina, either by phone or in person. Public relations will need to be a strong asset of the Dockage Coordinator. This person needs to have a very good understanding of the entire Marina operation. This employee will also assist the Marina owners and the Harbormaster in setting policies, regulations, maintenance and other directions of all activities at the Marina. Responsibilities 1) Review and update with the Marina Owners and Harbormaster: a) License Agreements, including annual, summer only, pwc, change of boat, slip, or both, change of ownership, dry storage and winter storage; b) Rules & Regulations; c) All forms that will be mailed out with agreements; d) Cover letter for agreements; e) Credit card authorization (review also with Accountant); f) Instruction letter. 2) Provide cover letter, all agreements, rules and regulations, credit card authorization, and instruction letter to boat owners. 3) Confirm all agreements come back with proper information on them (signatures, check payment type, payment, date, and serial numbers). 4) Process wet/dry storage bills for all agreements. 5) Collect payment for wet/dry storage. 6) Monitor and update insurance information in boat files. 7) Coordinate KCM to be listed as additional insured on all boats. 8) Input new customers into Dockmaster customer file. 9) Update boat files in Dockmaster. 10) Mail out invoices when needed. 11) Add new billing codes when needed. 12) Change billing codes in Billing Code Maintenance to reflect price changes. 13) Create folders for new customers. 14) File License agreements in customer files. 15) Maintain customer files 16) Continually inspect Docks for needed repairs and/or violations. 17) Coordinate needed repairs or violation corrections with the Owners and the Harbormaster. 18) Issue bathhouse cards. 19) Maintain bathhouse computer information. 20) Bill customers for lost/non-returned bathhouse cards. 21) Help dockage customers when they need assistance or have complaints. 22) Arrange for electricians and carpenters when needed. 23) Assist in organizing the yearly Boat Show in Minneapolis, including: a) Process contracts needed for Boat Show organizers; b) Order passes for employees; c) Coordinate with organizers our electricity requirements; d) Assist in booth set up and help staff e) Arrange with Accounting for payment 24) Organize the yearly Open House that occurs the week following the Boat Show: a) Organize distribution of invitations b) Ascertain food and beverage requirements and provide 25) At the beginning of the season organize the Opening of the Marina Party: a) Organize distribution of invitations b) Procure a band c) Provide satellites d) Ascertain table and chair requirements and provide e) Procure a caterer f) Organize with Yacht both set up and clean up g) Ascertain requirements and provide plates, silverware, napkins, cups, snacks, and beverage 26) Organize Employee Christmas Party, including reservations and invitations. 27) Provide Harbor Highlights articles when needed. 28) Proficient in VHF base radio operations. 29) Knowledge of correct tornado, fire, first aid, oil spill, man overboard and boat sinking procedures. 30) Knowledge of all harbor Rules and Regulations. DUTIES 1) Provide receptionist coverage including answering phone calls. 2) Assist with postal requirements including: a) delivery b) maintaining postal machine c) correct postage 3) Marine Store duties including knowledge and understanding of: a) Opening and closing store b) Inventory assistance c) Writing sales tickets d) Knowledge of general inventory and applications to assist customers e) Promote Store merchandise through conversations and assistance with customer problems. 4) Assist in the exterior attractiveness of the Marina by procuring and planting annual flowers. 5) Order flowers and/or cards when called for. 6) Promote the Marina. 7) Any other duties as required by Marina management Requirements MINIMUM QUALIFICATIONS The Dockage Coordinator should be a person who has had worked with the public in some form or another and has knowledge in overall office procedures. Experience within the Marina industry does not have to be a qualification but would help. This person will have to show initiative to help organize and maintain an organized working atmosphere within the Marina Office. SKILLS 1) Basic knowledge of bookkeeping, accounting and filing 2) Ability to get along with people 3) Computer literacy 4) Management skills
