JOB QUALIFICATIONS:

  • 1-3 years’ minimum experience in Document Control and Records Management

JOB SKILLS AND KNOWLEDGE:

  • Must possess in depth knowledge of Document Control Systems, including the functional requirements (both historical and current) of the document routing workflows, which utilize a mill-specific Facility Code System
  • Must be experienced in the use of document Categories, Attributes, Aliases, Cross Indexing, Crane and Mobile Equipment Components and Codes, as well as Major Supplier Indexing methods, to ensure that documents are properly coded for future retrieval from Content Server 22 (cs-22). They must be thoroughly familiar with the Vault Loader Systems including creating, revising, modifying and the removal of the documents
  • Must possess knowledge of Open Text CS-22 Systems, to work directly with our Open Text support group – Supai Systems – troubleshooting unresolved defects and identifying problems. Further, they are required to perform Testing and Tracking protocols on installed fixes
  • Must have proficient knowledge of the Brava Licensing software, and the ability to determine user requirements, to set up accounts and maintain licensing requirements for both plants
  • Proficient computer skills are required. Candidates are responsible to train plant staff in the operation of our integrated on-line drawing search
  • Must possess a basic understanding of engineering and manufacturing drawings, to assist mills in drawing and document retrieval. This department handles the Quality Assurance for this very important operation, as required by ISO 9002
  • Experience in AutoCad, Brava and Snag-it Programs. As a substantial cost savings measure, staff are required to perform supervised drawing updates and hybrid option modifications. They work with vendors and suppliers to match our software, format, naming, text styles, line weights, blocks, etc. to meet the requirements of the Stelco Document Control System
  • Must possess excellent organizational and strong communication skills, to coordinate all new Capital Projects, from inception to completion working with outside consultants, vendors, and contractors. This ensures that Stelco can secure as-built documentation, which will then be added to the Stelco Record Management System
  • Oversees a monitored and catalogued system to ensure that the Engineering Manager maintains accurate records, with respect to all Requests for Engineering Services, as per requests from the various Plant Division Managers. Again, they must fully understand the Document Control and Coding Systems to maintain accurate records and distribution of packages to the appropriate mills and vendors
  • Must be trained, and proficient, in Microsoft programs, to assist vendors with project work orders and requisitions as part of the RFES system, as well as creating and monitoring move order products and punch out systems. Responsible for the loading and monitoring of all Engineering related requisitions into D365
  • Responsible for the coordination of plant wide initiatives, both at HW and LEW, to secure appropriate mill involvement in a “Request for Drawing Modification” process, whereby “field mark-ups” are obtained, catalogued, modified, and updated in CS-22, thus ensuring the integrity of our system. This requires a good working knowledge of mill equipment, and personnel, along with contractor interaction, as required
  • Responsible for the control and maintenance of Plant Bills of Materials System, Operation and Equipment Manuals, Plant Wide Ministry, Safety and Environmental documentation, In-house Library facilities, Plant Wide Electronic Process Filing System as well as the Document Management Long Term Storage Program
  • Oversee the plant wide requirements, with respect to all operations and maintenance forms, as provided through the Data Group
  • Proficient in the operation and maintenance knowledge of all department equipment including the Ricoh plotters
  • Must possess excellent computer skills and be proficient in Excel, Word, Access, SharePoint and Teams
  • Knowledgeable in OpenText Capture Center software, an advanced document and character recognition program required in the handling of Bills of Material, PHSR’s, etc. in ready for CS-22 storage
Responsibilities

The safety, environmental compliance, security and productivity of Stelco’s operations are directly dependent on our ability to maintain a database of approximately 700,000 engineering documents. Without accurate maintenance of these materials, the functions of engineering and mill maintenance would be severely handicapped, if not impossible.
Coordinator’s are responsible for the maintenance of 580,000 engineering drawings (HW + LEW), over 30,000 LEW Bills of Material and 5,000 LEW Equipment and Operating Manuals. Further, they are responsible for the day-to-day maintenance and Capital Project process documents, including the commercial correspondence that enables us to ensure that all purported liabilities are indeed legitimate. These numbers are constantly growing as documents are continually revised, and supplemented, by in-house staff, consultants, contractors and manufacturers. All documents must be properly identified, coded, approved, scanned and stored for timely retrieval.
