Job Description Document Control & Program Administration Specialist This dual-role position supports both Document Control and Program Administration functions to ensure accurate configuration management, controlled documentation, and effective execution of program and contract-related activities. This role is critical to maintaining compliance, supporting production readiness, and enabling coordination across Engineering, Operations, Finance, Contracts, and Business Office teams. Key Responsibilities (Other duties may be assigned) Document Control (Primary Focus) Maintain and control customer and engineering drawings, specifications, and process documentation in accordance with company procedures. Distribute, track, and archive controlled documents, ensuring only current revisions are available for use. Retrieve and properly disposition obsolete or superseded documentation in compliance with retention policies. Manage document changes, ensuring revisions are accurately implemented and communicated to impacted teams. Support document uploads and maintenance within ERP/MES systems. Ensure documentation accuracy, completeness, and alignment with production and quality requirements. Support internal and external audits by providing documentation, records, and revision history as required. Program Administration & Contracts Support (Secondary Focus) Support program tracking activities, including schedules, deliverables, and status reporting. Assist Program Managers with coordination of program documentation, reports, and customer deliverables. Maintain program and contract records, including documentation, compliance requirements, and internal tracking tools. Provide administrative support to the Contracts Department, including document coordination, contract file maintenance, and data verification. Review contracts to ensure alignment with approved quotes, terms, and negotiated requirements. Monitor and report key program metrics, including schedule adherence and documentation readiness. Coordinate cross-functional communication between Program Management, Engineering, Operations, Finance, and Contracts. Support risk tracking, action item follow-up, and program documentation consistency. Develop and maintain material reports for internal stakeholders and customer requirements. Interface with customers on a routine basis to support program and contractual execution. Qualifications Required Experience in Document Control, Program Administration, Contracts Administration, Business Operations, or a related field, or a Bachelor’s degree in Business Administration or similar discipline. Strong organizational skills with high attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. Proficiency in Microsoft Office applications (Excel, Word, PowerPoint). Preferred Experience with ERP/MRP systems (e.g., Costpoint, or similar). Experience supporting audits or working in regulated or quality-driven environments. Familiarity with configuration management or document control systems. Exposure to program and contract management practices.
