JOB SUMMARY:

The Document Controller is responsible for managing all project-related documentation in an organized, accurate, and secure manner. They ensure proper control, distribution, and tracking of project documents to support smooth operations and compliance with company and client standards.

QUALIFICATIONS & SKILLS:

  • Bachelor’s degree or diploma in Business Administration, Engineering, or a related field (preferred).
  • Proven experience (2–5 years) as a Document Controller in the construction industry.
  • Knowledge of document control procedures and best practices.
  • Proficiency in document control software (e.g., Aconex, Procore, Primavera Contract Management) and MS Office (Excel, Word, PowerPoint).
  • Excellent organizational and time-management skills with attention to detail.
  • Strong communication skills and ability to coordinate with multiple stakeholders.
  • Familiarity with construction terminology and project workflows.
Responsibilities
  • Establish and maintain a structured document management system for all project documentation (drawings, contracts, reports, correspondence, etc.).
  • Receive, review, log, and distribute incoming documents and correspondence.
  • Ensure proper version control and easy retrieval of documents (hard and soft copies).
  • Track the status of documents and follow up on pending approvals or revisions.
  • Ensure that all documents are accurately indexed and archived in accordance with company and project requirements.
  • Liaise with engineers, project managers, contractors, and consultants to ensure timely submission and distribution of documents.
  • Prepare and maintain document registers, transmittals, and submission logs.
  • Ensure compliance with quality assurance, contractual, and regulatory requirements related to documentation.
  • Support audits and inspections by providing required documentation and reports.
  • Protect confidential and sensitive information with proper security measures.
