ESSENTIAL REQUIREMENTS

Previous experience within Document Control is essential
Proficient in the use of software systems
Strong attention to detail and organisational skills
Effective communication and interpersonal skills
Able to work well on own initiative and demonstrate high levels of motivation required to meet deadlines
Experience in Construction is desirable, although not essential.
Full UK Driving Licence

This is a full-time position to commence end of April 2025. We are open to Freelance or PAYE employment terms. Excellent competitive salary on offer, negotiable dependent upon experience.
Hours of work 8am – 4pm Monday to Friday.
Office based role, although you will be required to attend site meetings in the Northwest subject to project location.

Responsibilities

SUMMARY OF ROLE

The role will include managing the controlled flow of project documentation between Amspec and our clients teams, ensuring all formal transmittals and contract information are accurately processed, recorded, and transferred between our Project Management platform Procore. As the gatekeeper for project documentation, you will oversee the transfer of information into Procore, ensuring that Procore remains the single source of truth for our project team.

KEY RESPONSIBILITIES

Document Management & Control:

  • Process and record all formal transmittals and contract-related documents received via our client team into correct project folders on Procore.
  • Ensure all information is correctly categorised and transferred into Procore for access by the project team.
  • Maintain accurate records of submissions, approvals, and outstanding documentation.
  • Propose new standard document control systems for Managing Director approval.

Information Flow & Compliance:

Manage the controlled distribution of key project documents, including:

  • Design drawings & Specifications
  • RFI’s (Request for Information)
  • Submittals
  • Contractor Reports
  • Cost & Programme Reports
  • Deliveries
  • Other significant contractual documents

Gatekeeping & Version Control:

  • Act as the primary point of contact for document control between Amspec and Client Team
  • Maintain version control and track changes to ensure all stakeholders have access to the latest revisions.
  • Archive superseded documents appropriately within Procore and notify Project team of the changes which should be recorded and stored within the document files for future reference.

Auditing & Reporting:

  • Conduct weekly administrative audits to verify that document control processes are being adhered to by Amspec project team and issue report to Managing Director & Operations Director.
  • Generate weekly reports on outstanding RFI’s & submittal approvals, missing documents and updated drawings or specifications.
  • Identify any discrepancies in document handling and report to Directors.

Collaboration & Support:

  • Liaise with Directors, Project Managers, Commercial Teams, Subcontractors, and the Client to ensure smooth document workflows.
  • Attend Project meetings and take minutes
