JOB SUMMARY:

The Document Controller Cum Administrator manages and oversees all documentation related to projects, ensuring accuracy, completeness, and compliance with company and project standards, while also providing essential administrative support to ensure smooth office operations. This role requires effective coordination with project teams, clients, and stakeholders, as well as efficient management of administrative functions.

REQUIREMENTS:

  • Minimum of 5 years of experience as a Document Controller in UAE consultancy companies.
  • Familiarity with project documentation requirements.
  • Strong organizational, coordination, and communication skills.
  • Proficiency in MS Office and document management software.
  • Detail-oriented with the ability to manage multiple projects and tenders simultaneously.

Responsibilities
  • Manage, organize, and maintain document control systems, ensuring accurate filing, categorization, and easy retrieval.
  • Assist in portal monitoring and submissions with UAE authorities including DM, DDA, DCD, and Trakhees
  • Assist in compiling, reviewing, and submitting technical and commercial documents.
  • Ensure all documents are uploaded in EDMS, tracked, and updated according to project timelines and local regulations.
  • Serve as the main contact for document inquiries, coordinating with managers, engineers, and stakeholders.
  • Facilitate communication between internal teams and external parties on document requirements and submissions.
  • Ensure compliance with documentation standards, conducting regular audits for accuracy and completeness.
  • Support project deliverables, fee proposals, and maintain document registers and approvals.
  • Archive completed records, manage electronic storage, and track project milestones.
  • Provide administrative support including correspondence, scheduling, proofreading, and maintain confidentiality.
