QUALIFICATIONS & SKILLS:

  • Bachelor’s degree or diploma in Business Administration, Engineering, or related field.
  • Minimum 4–6 years of experience in document control, preferably in the construction industry.
  • Strong knowledge of document control systems, ISO standards, and project filing procedures.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Experience with EDMS (Electronic Document Management Systems) such as Aconex, Primavera, or similar software is an advantage.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills to coordinate with multiple stakeholders.
  • Ability to work under pressure and meet deadlines.

Responsibilities

ROLE OVERVIEW:

The Document Controller is responsible for managing, organizing, and maintaining all project-related documents and records at the construction site. This includes ensuring proper documentation flow between the site, head office, consultants, and clients, maintaining version control, and ensuring compliance with company standards and project requirements.

KEY RESPONSIBILITIES:

  • Maintain and control all project documentation, drawings, correspondence, and records (soft and hard copies).
  • Ensure all documents are correctly filed, updated, and easily retrievable.
  • Manage incoming and outgoing correspondence such as RFIs, submittals, transmittals, shop drawings, method statements, and material approvals.
  • Distribute documents to relevant stakeholders (site team, consultants, subcontractors, and client representatives) in a timely manner.
  • Ensure document numbering, filing systems, and archiving procedures are strictly followed.
  • Maintain logs/registers for drawings, technical submittals, correspondence, NCRs, MIRs, etc.
  • Track revisions of drawings, specifications, and other documents to ensure only current and approved versions are in use on-site.
  • Assist project managers and engineers in preparing reports, documentation, and presentations.
  • Liaise with head office document control team to ensure consistency and compliance with corporate standards.
  • Ensure confidentiality and security of project-related documents.
