The Role


We are seeking a Document Controller to manage and maintain project documentation, ensuring accuracy, compliance, and accessibility across project teams. Join our team and play a critical role in ensuring seamless project operations through efficient document management. You will play a key role in supporting project efficiency by overseeing document control processes, ensuring version management, and facilitating smooth communication between internal and external stakeholders.


Key Responsibilities



  • Maintain and administer document control systems (e.g., SharePoint, Aconex, Procore, TeamBinder), ensuring effective version control, document numbering, templates, and formatting standards are consistently applied.
  • Manage the distribution, submission, and tracking of project documentation, including transmittals, RFIs, approvals, technical documentation packages, and handover dossiers.
  • Monitor document review workflows, follow up on outstanding comments and approvals, and maintain accurate registers and status reports to support project delivery.
  • Ensure all project documentation complies with company procedures, quality standards, contractual requirements, and audit obligations through accurate and traceable record management.
  • Coordinate document flow between project teams, engineers, consultants, contractors, clients, and other stakeholders to ensure timely access to current and approved information.
  • Support project execution and closeout activities by archiving records, assisting with audits, providing administrative support, and training team members on document control processes and systems.



Requirements

  • Minimum 5 years of experience in a Document Control, Records Management, Project Administration, or Quality Administration role.
  • Previous experience within construction, engineering, infrastructure, renewable energy, mining, or industrial projects preferred.
  • Demonstrated experience managing project documentation throughout project delivery phases.
  • Experience working with Electronic Document Management Systems (EDMS) such as Aconex, Procore, TeamBinder, or SharePoint.
  • Familiarity with project documentation processes, transmittals, document reviews, approvals, and handover requirements.
  • Certificate, Diploma, or equivalent qualification in Business Administration, Information Management, Project Administration, or a related discipline is advantageous.
