We are currently seeking an established Document Controller to join our team in Melbourne.

Responsibilities

The Document Controller will play a pivotal role in driving effective and efficient information exchange across multiple work packages and internal stakeholders. This role is central to ensuring accuracy, compliance, and accessibility of project records while supporting the continuous improvement of document management systems and processes.

Your day-to-day responsibilities may include:

  • Setting up and refining transmittal workflows for project stakeholders
  • Creating and maintaining master registers and dashboards to support project reporting
  • Managing drawing and document naming conventions, revisions, and distribution
  • Ensuring documents, including technical drawings, safety records, and operational procedures, are properly registered, categorised, and filed in line with project and regulatory requirements
  • Overseeing version control to maintain accuracy, with outdated versions appropriately archived
  • Maintaining documentation in an audit-ready state to support internal audits and external regulatory inspections
  • Reviewing submitted documents for accuracy, completeness, and compliance with standards
  • Administering electronic document management systems (e.g., Aconex, ProjectWise, SharePoint), ensuring proper configuration and user access controls
  • Coordinating with internal and external stakeholders to ensure continuity of information flow
  • Acting as the central point of contact for document-related queries, including contractors, consultants, and regulatory bodies
  • Supporting and mentoring junior document controllers, promoting consistency and best practice across the team
