DOCUMENT CONTROLLER

Our client are seeking a highly organised and detail-oriented Document Controller to join our dynamic team. The successful candidate will play a crucial role in managing and controlling all project-related documentation, ensuring compliance with established protocols and facilitating smooth information flow among project stakeholders.

REQUIRED SKILLS AND QUALIFICATIONS

  • Minimum of 3 years of experience in document control, preferably in the construction or engineering industry
  • Strong proficiency in document management software and CDE portals
  • Excellent organisational and time management skills
  • Keen attention to detail and high level of accuracy
  • Strong communication skills, both written and verbal
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office Suite (Word, Excel ect)
  • Proficient in Asite, Acanex, Project Plus & Pro core (Desirable)
Responsibilities
  • Document Protocol Enforcement:
  • Implement and maintain document control procedures and systems
  • Ensure all project documents adhere to company standards and client requirements
  • Develop and update document control processes as needed
  • Train team members on document control procedures and best practices
  • CDE Portal Management:
  • Proficiently upload and download documents to/from Common Data Environment (CDE) portals
  • Organise and maintain the structure of CDE portals for easy access and retrieval
  • Ensure proper version control and document naming conventions are followed
  • Manage user access and permissions within CDE portals
  • Document Tracking and Transmission:
  • Maintain accurate logs of all incoming and outgoing documents
  • Track document revisions, approvals, and distribution
  • Coordinate the timely transmission of documents to relevant parties
  • Generate regular reports on document status and project progress
  • Quality Control:
  • Perform quality checks on all documents before distribution
  • Ensure consistency in document formatting and presentation
  • Identify and resolve discrepancies or errors in documentation
  • Implement and maintain a robust filing system for easy retrieval and auditing
  • Printing and Document Production:
  • Manage the printing of drawings and various project documents
  • Ensure high-quality reproduction of documents and drawings
  • Coordinate with external printing services when necessary
  • Maintain inventory of printing supplies and equipment
  • Stakeholder Liaison:
  • Act as the primary point of contact for document-related queries
  • Liaise with contractors, subcontractors, and other project stakeholders
  • Facilitate document exchange and communication between parties
  • Resolve document-related issues and conflicts
