Description

We are seeking a reliable and detail-oriented Document Controller / Contract & Admin Coordinator to manage contracts, client accounts, and administrative processes. The role will serve as the primary point of contact for existing clients, ensuring smooth handling of renewals, payments, documentation, and issue resolution, while also supporting tender submissions and internal reporting.

REQUIREMENTS

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Minimum 3–5 years’ experience in document control, contracts administration, or client account management (preferably in transport, logistics, or service industry).
  • Strong knowledge of contract documentation, tender processes, and payment follow-ups.
  • Excellent organizational skills with attention to detail and accuracy.
  • Proficient in MS Office, ERP systems, and online tender portals.
  • Strong communication and interpersonal skills with the ability to manage multiple stakeholders.

Responsibilities
  • Contract Management: Handle renewals for B2B and B2C clients (40–50 active contracts), prepare documentation, and ensure timely completion.
  • Client Case Handling: Act as the first contact for complaints or service issues, coordinate with Managers/Operations, and ensure resolution.
  • Payments & Accounts: Monitor client payments, update records, and escalate overdue balances.
  • Document Control: Review contracts and related documents before management approval; maintain accurate filing systems and digital records.
  • Tender Coordination: Track tender portals, prepare initial submissions, and liaise with Sales Executives for timely bidding and closure.
  • Client Communication: Serve as the bridge between clients and internal teams, ensuring clear and professional communication.
  • Reporting: Prepare regular reports on renewals, payments, client cases, and tender activities for management.
  • Administrative Support: Assist Sales and Operations with documentation, filing, and data entry as required.
