JOB SUMMARY:

We are seeking a highly organized and detail-oriented Document Controller with proven experience in managing tender documentation and working in a consultancy environment in the UAE. The ideal candidate will be responsible for controlling the company’s documents, ensuring compliance with project requirements, and supporting tender submissions and bid documentation processes.

REQUIREMENTS:

  • Bachelor’s degree or diploma in Business Administration, Engineering, or a related field.
  • Minimum 3–5 years of experience as a Document Controller, preferably within consultancy firms in the UAE.
  • Solid understanding of tendering processes, procurement documentation, and consultancy workflows.
  • Familiarity with UAE tendering procedures (e.g., for government and semi-government projects).
  • Proficient in document control software (e.g., Aconex, SharePoint, Primavera Contract Manager, etc.).
  • Excellent knowledge of Microsoft Office Suite (especially Word, Excel, Outlook).
  • Strong organizational, coordination, and communication skills.
  • Ability to work under pressure and meet tight deadlines.

Responsibilities
  • Manage and maintain the document control system, ensuring accuracy, quality, and integrity of all documentation.
  • Prepare, review, and coordinate tender and bid submissions in line with client requirements and deadlines.
  • Receive, track, and distribute project documents and correspondence (RFIs, submittals, drawings, specifications, etc.) using EDMS platforms (such as Aconex, Procore, or similar).
  • Liaise with consultants, contractors, and internal departments to ensure timely submission and approval of documents.
  • Maintain confidentiality and ensure proper version control of sensitive documents.
  • Prepare transmittals, logs, reports, and document registers as required by project teams and management.
  • Support the commercial team in collecting and compiling pre-qualification and tender documents.
  • Ensure all documentation complies with ISO standards and internal quality management systems.
  • Archive and retrieve documents as needed, maintaining efficient document storage systems.
