We have an opportunity for a few Documents Formatting Executive/Trainee to join our team who is responsible for providing production support to our client ensuring their documents are formatted professionally, consistently, and in line with company/client’s standards. This role involves working with various document types, applying templates and styles, and ensuring clarity, readability, and compliance with branding guidelines. DESIRED SKILLS

  • Advanced skills in Microsoft Word, PowerPoint, and Excel.
  • Experience with Adobe Acrobat Pro for PDF formatting.
  • Knowledge of VBA or VSTO add-ins for automation is a plus.
  • Familiarity with DITA, JATS, or LegalDocML XML standards for structured documentation is a plus.
  • Attention to Detail: Strong eye for typography, alignment, spacing, and document aesthetics.
  • Time Management: Ability to handle multiple documents and meet tight deadlines.
  • Communication Skills: Ability to work with teams and understand document requirements effectively.

QUALIFICATION AND EXPERIENCE

Bachelor’s degree in English, Communications, Graphic Design, Information Technology, or a related field.
1-5 years of experience in document formatting, publishing, or content production.

Responsibilities
  • Document Formatting & Styling: Format documents, including articles, research papers and manuals, ensuring consistency in fonts, margins, headings, tables, and overall layout.
  • Template Management: Develop and maintain document templates to standardize branding and formatting across the organization.
  • Quality Assurance: Perform thorough reviews to check for formatting errors, inconsistencies, and alignment with corporate branding guidelines.
  • Technical Document Processing: Work with structured documents in formats such as Word, PDF, PowerPoint, Excel, and occasionally XML-based formats (e.g., DITA or JATS for technical content).
  • Automation & Tools: Utilize Microsoft Word styles, templates, and advanced features (e.g., macros, VBA, or VSTO add-ins) to streamline document formatting processes.
  • Collaboration & Communication: Work closely with content creators, editors, designers, and technical teams to finalize documents for distribution.
  • Version Control & Document Management: Ensure proper versioning and organization of formatted documents within content management systems (CMS) or document repositories.
  • Graphic & Table Formatting: Format tables, charts, and images within documents to ensure a clean and professional look.
  • Compliance & Accessibility: Ensure documents meet accessibility standards (such as WCAG, Section 508) and industry-specific regulations.
