About This Role The Documentation Specialist is responsible for creating, organizing, and maintaining high-quality internal and external documentation that supports operational excellence across the organization. This role ensures clarity, consistency, and accuracy in all written materials—from process manuals and SOPs to product guides, training materials, and cross-functional playbooks.The ideal candidate is detail-oriented, structured, and highly collaborative, with a strong ability to translate complex information into simple, user-friendly content Department: Central Marketing Reporting To: Creative Content Marketer Eventual Reporting To: VP, Central Marketing What You Will Be Doing Documentation Development Create, update, and maintain SOPs, process flows, training guides, FAQs, and knowledge-base articles. Convert technical or operational inputs into clear, accessible documentation for different audiences. Draft templates, frameworks, and standardized formats to ensure document consistency across teams. Collaborate with cross-functional teams (Operations, Product, Marketing, HR, and Leadership) to collect information and ensure accuracy. Knowledge Management & Organization Maintain a centralized documentation repository (e.g., Notion, Confluence, Google Workspace) with logical structure and version control. Ensure documents are searchable, up-to-date, and aligned with company-wide taxonomy. Create document dashboards, index systems, and easy-access libraries for various departments. Quality & Compliance Proofread for grammar, clarity, tone, and structural accuracy. Ensure documentation adheres to brand style guidelines and compliance requirements. Coordinate periodic reviews to keep content current and relevant. Process & Workflow Optimization Map processes (SIPOC, flowcharts, swim lanes) to support strategic operations and decision-making. Identify documentation gaps and propose improvements. Support automation projects by maintaining workflow documentation and change logs. Cross-Functional Enablement Assist teams by preparing materials for onboarding, training, and knowledge transfer. Conduct documentation walkthroughs or create short explainer videos (optional). Work with leadership to prepare strategic documents, playbooks, and business reviews. About You Qualifications Excellent written English communication skills. Strong attention to detail and organizational ability. Ability to simplify complex information. Experience with documentation tools such as Notion, Confluence, Google Docs/Slides, or similar. Familiarity with process mapping tools (Lucidchart, Miro, Whimsical). Nice-to-Have Prior experience in operations, product, project management, or technical writing. Background in SaaS, EdTech, consulting, or high-growth startup environments. Understanding of standard frameworks: SOP creation, OKRs, process design, change management.
