Benefits: 401(k) matching West Coast Trans Alliance is seeking an experienced and organized individual to support our Asset division, West Coast Trans Intermodal, as a Part-Time Drayage Admininstrative Assistant. This role operates out of our truck yard in Wilmington. This role is in-person, M-F 0800-1200. Duties and Responsibilities Document Management: Organizing, filing, and maintaining important transportation documents such as bills of lading, delivery receipts, and proof of delivery. Tracking and filing equipment repairs. Ensuring compliance with regulations by keeping records of driver logs, fuel & scale receipts, truck/chassis inspections, and other required paperwork. Data Entry and Reporting: Inputting data into company systems, including driver schedules, freight information, and billing details. Keep internal master spreadsheets/web drive up to date. Invoicing and Billing Support: Assist with the preparation and distribution of customer invoices. Post incoming payments and send aging reports to customers. Audit driver manifests and vendor invoices for accuracy Assist in categorizing expenses in Quickbooks General Office Tasks: Answering phones, responding to emails, greeting visitors, and handling general office correspondence. Managing office supplies, organizing meetings, and performing other administrative duties as needed. Who We're Looking For: An individual with exceptional organizational skills capable of juggling multiple tasks. Someone with QuickBooks or other Accounting software experience Preferably someone with experience of logistics/drayage industry Excellent communicator with a focus on providing best in class customer service. A team player who is ready to jump in and help where needed. A quick learner who can thrive and adapt in a dynamic, high-energy environment. Qualifications: Authorization to work in the US High School Diploma or Equivalent 1-3 years in drayage or logistics experience preferred The ideal candidate will have a background admin and/or accounting functions Ability to be highly organized/detail-oriented Ability to multitask, problem solve and function in a fast-paced environment Proficiency in Microsoft Office, QuickBooks and TMS systems Benefits 401k Company Match Paid Holidays
