Responsibilities

MAIN RESPONSIBILITIES:

  • Manage direct / walk-in enquiries that come into the school as well as monitoring and encouraging all students who are eligible for renewal to continue on FL programmes.
  • Liaise with service providers about everything needed for the running of the building (refuse, internet, electricity, water etc.).
  • Contribute to the updating of student files in collaboration with the Student Support Coordinator, ensuring that all relevant statutory documentation is contained there and that such files are kept in excellent order to meet the demands of internal and external inspection and reporting;
  • Together with the Campus’ Academic Manager, provide a comprehensive induction and orientation to all international students on our adult programmes which explains clearly how to make a success of their time with us;
  • Arranging for social and cultural activities that will have a positive impact on international student retention along with informative workshop on employment, accommodation, travel / transport etc, including quarterly seminars for all students;
  • Managing the operational team for the building including front of house, cleaning and ad hoc maintenance staff or contractors
  • Manage the costs of running the campus and being accountable for the budget.
  • Manage the occupancy of the building by internal and external users (both adult and young learner) and consider the contribution of each to the cost of running the facilities, for budgeting purposes.
  • Be the main point of contact for outside parties interested in renting space and work and ensure we can meet their requirements and be prepared to actively reach out to potential external renters to see to maximise usage, once the internal needs have been met.
  • Maintain the building to a high standard and ensure it is a safe place to work and study in compliance with all standards in consultation with the FL Health and Safety officer.
  • Manage the allowance for urgent repairs and replacements, along with a plan for foreseeable renewal / upgrade works.
  • Oversee the use of the building as a social space for staff and students and ensure all feel welcome, the needs of the different members of the school community are balanced, and there are events organised / facilitated to bring people together.
  • Liaise with internal and external accommodation providers for adult students on the Dublin campus about any requests or complaints.
  • Work with other departments to gather feedback from current users of our facilities (including adult accommodation) and develop action plans to remedy any points that are identified.
  • Organise the setup of the facilities for events, classes, breaks etc, and assist programme managers in resolving any difficulties with the equipment, furniture etc.
  • Take the initiative to deal with faults, breakdowns, leaks and similar issues, and take steps to ensure the safety of the users while any assistance that you have called on is on the way.
  • Ensure that campus is being operated to a high standard with a focus on student retention and welfare. This includes planning, promoting and running a calendar of social, community and well-being events for the different users of the building.
  • Work with other departments on improvements to all policies and procedures related to your area of responsibility whenever needed and ensure these are communicated to users of the building.
