Description We are seeking a Service Sales Assistant that provides high-level administrative and operational support to Sales Development Managers and Strategic Account Development Managers. This role ensures smooth communication, coordination, and execution of tasks across internal departments and external clients. The assistant acts as an extension of the Service Sales and SDM/SADM team, managing communications, preparing materials, helping resolve issues, and facilitating seamless project and service workflows. Communication & Correspondence Support Monitor email inboxes of assigned SDMs/SADMs and draft, prepare, or respond to messages as needed. Make and receive phone calls on behalf of managers, ensuring timely and professional communication. Serve as a liaison between sales leadership, clients, and internal teams. Problem Solving Assist in addressing and resolving issues involving internal departments (e.g., scheduling, service, installation teams). Support escalation processes involving client or vendor issues, coordinating communication and next steps to maintain positive relationships. Proposal & Documentation Preparation Prepare sales proposals, quotes, and related documents for review and delivery. Build and maintain handoff folders, ensuring completeness and accuracy for downstream teams. Organize and prepare travel arrangements and logistics for SDMs/SADMs. Client Support & Data Retrieval Retrieve and provide requested documentation for clients, including service dates, reports, invoices, and scheduling confirmations. Coordinate with internal schedulers to forecast and confirm upcoming service calls and project timelines. Work with monitoring and installation teams to confirm installation dates, changes, and job completion statuses. Operational Coordination Assist in managing task follow-up and ensuring timely completion of assigned activities. Maintain accurate records within CRM or internal systems. Support special projects, service initiatives, or client-focused tasks as assigned. Requirements Training and Certification Requirements: Strong communication skills. Excellent organizational abilities. Professional phone etiquette. Ability to handle sensitive information with discretion. Problem solving skills. Proficiency in Microsoft Office, Google Workspace, and CRM tools. Strong attention to detail. Preferred Qualifications: Experience in sales support or administrative assistance.
