EXECUTIVE ASSISTANT

Reporting to the Managing Director, ACB is seeking a pro-active experienced executive assistant to support the management team and lead key strategic projects.
The successful applicant should have a clearly demonstrable track record of high level secretarial duties, strong leadership and project management skills.

JOB DESCRIPTION

Provide comprehensive secretarial and administrative support to the leadership team

  • Manage diaries, organize meetings and travel arrangements.
  • Conduct research, prepare and edit reports for senior management review
  • Maintain documentation to meet governance requirements and to deliver regular ongoing assessments to management
  • Handle confidential documents with discretion ensuring they remain secure.
  • Maintain office systems
  • Attend meetings as required and provide professional, accurate minute taking

Lead key strategic projects on behalf of the MD, specifically.

  • Take a brief, plan the task with a roadmap to deliver it to agreed deadlines, implement and maintain key stakeholder engagement
  • Working to deadlines and adapting to change if and when it occurs
  • Assess risks and opportunities, whilst adhering to relevant regulatory policies and procedures
  • Tender preparation and review
  • Working knowledge of quality assurance particularly ISO 9001, 14001, 27001

The successful applicant will have:

  • Strong educational background Degree or at least A level education
  • Exceptional organizational, planning and time management skills
  • Strong attention to detail and problem-solving skills.
  • The ability to work effectively under pressure and meet deadlines.
  • Excellent communication written and orally
  • Ability to work cross functions internally and externally, with small as well as multinational clients including government departments
  • Although not a requirement, part experience working with regulators or legislation is a benefit
  • A high level of discretion and confidentiality.
  • Proficiency in MS Office and the Ability to manage and control costs to budget if required

It would be advantageous to have:

  • Project Management Qualification
