EDUCATION ADMINISTRATIVE ASSISTANT

The Education Administrative Assistant provides crucial support for the day-to-day operations of The Sunset Playhouse School for the Arts, handling tasks related to marketing, workshops, and performances. This role requires strong organizational, communication, and customer service skills.

SKILLS AND QUALIFICATIONS:

  • Organization and Time Management: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Communication: Excellent verbal and written communication skills for interacting with various stakeholders.
  • Customer Service: Providing positive and helpful support to students, parents, and staff.
  • Computer & Software: Proficiency in Microsoft Office Suite, including Word and Excel. Proficiency in Google Calendar and Drive. Exposure to or willingness to learn Web Design, Canva (or other graphic design program), Patron Manager (ticketing software) and ACTIVE Camp & Course Manager (course registration system). Competent in the use of Facebook, Instagram, and Tik Tok
  • Teamwork: Ability to work independently and collaboratively within a team.
  • Passion for the Arts and Arts Education: A genuine interest in theatre and the performing arts.
  • Flexibility: Willingness to work evenings and weekends as needed.
  • Must be able to lift 40 pounds (moving portable stage pieces, lifting boxes, stacking chairs)

Social Media/Web Page

  • Education Website maintenance/clean up
  • Education photography
  • Education tik tok/Instagram videos
  • Education Facebook site updates
  • Education Facebook event creation

General Administration

  • Copy/Scan Materials
  • Order supplies
  • Organize and maintain education storage at Sunset
  • Support Instructors (crafts/costumes/props)
  • Schedule and maintain Education Google calendar

Bug in a Rug Children’s Theater

  • Market to schools and libraries to expand reach
  • Group sales for public performances
  • Schedule performances with schools
  • Invoice/confirm performances
  • Maintain actor Google rehearsal and performance calendar
  • Website update

Outreach Coordination

  • Market and coordinate our Bug in a Rug Jr classes (partnership with Elementary Schools, Preschools, Library and Community Centers)
  • Market and coordinate our off-site KIDS musical sessions/rehearsals/performances

Sessions & School Performances

  • Possible attendance at first class kick off and/or final showcase attendance
  • Attendance at daytime JR performances.
  • Coverage if the Director of Education is unable to attend performances etc.

Summer Camp:

  • Sort and distribute camp T-shirts
  • Pull and put away costumes weekly
  • Pull and put away props and set pieces weekly
  • Prepare crafts for instructors
  • Maintain school costume area
  • Student Check in/Pick up
