JOB SUMMARY Works under direction to coordinate administration of educational programs of department or unit, such as medical student education, graduate student education, internship training, residency training, and postdoctoral fellowship programs. UTSW coordinators serve as important liaisons between the medical students, faculty members, residents, and Dean’s Office. The Dean’s Office relies on coordinators to notify them of all student concerns (e.g., absences, professionalism problems, schedule changes, etc.) that may affect the student’s educational experience. Coordinators are usually available during regular business hours, 8:00 a.m.-5:00 p.m., but can flex/remote as needed. Coordinator responsibilities include and are not limited to the following: · Serves as program liaison between the Dean’s Office and the PEDS Department · Maintains the course syllabus for each of the assigned rotations · Updates course catalog descriptions for each of the assigned rotations including contact information, rotation activities, and course availability each year and as needed · Serves as the point of contact while a student is on rotation and acting as a liaison between the student and the course director · Reserves rooms for rotation activities · Ensures appropriate credentialing of all medical students at multiple locations for the rotations · Keeps track of student attendance, tardiness, and professionalism problems and reporting all concerns to the Dean’s Office · Ensures all faculty have FERPA training before teaching and evaluating a student. Works with the home department to obtain the faculty appointments. · Ensures all policies and procedures are being met · Maintains current affiliation agreements with all outside hospitals and sites where the students rotate · Reviews CPEs from MedHub and enters final grades into PeopleSoft within 21 days of course completion (grade timeliness) · Ensures confidentiality of student’s data and ensures that a conflict of interest does not occur · Oversees the Residency Essentials program for the department o Pulls roster reports from MedHub prior to the start of each rotation o Schedules evaluations in MedHub for each course including student and attending/resident evaluations o Evaluation (MSPE) for Chair’s Letters of Recommendation · Maintains the Brightspace (d2l) site and/or student website for the department · Oversees VSLO for the department and determining visiting students o Formerly known as VSAS o Documents comments from the Medical Student Performance BENEFITS UT Southwestern is proud to offer a competitive and comprehensive benefits package to eligible employees. EXPERIENCE AND EDUCATION Required Education High School Diploma or GED Experience 4 years Related experience or Bachelor's degree in lieu of experience JOB DUTIES Coordinates, supervises, and administers operations of aforementioned programs as applicable. Responsible for managing clerical/administrative operations and workflow for maximum efficiency and utilization of resources. May supervise clerical and administrative support staff; may oversee training and orientation of staff; may determines work priorities; may evaluates work progress and production. May develop and oversee budgets related to education office, including approving expenditures and preparing summaries of financial operations. Obligates and tracks expenditures for educational program(s), committing funds for program operations, including salaries/stipends and other operational costs. Responsible for cost distribution of stipend and operational funding between institutions. Creates, reviews, and maintains policies and procedures in accordance with university and accrediting agency standards to ensure compliance. Interprets policy for faculty, staff, residents, fellows, and students. Maintains records and documentation of activities of program participants, including appointments, terminations, performance evaluations and/or grades, credentialling, malpractice coverage, recommendations, and verification of training; prepares complex reports and surveys for university administration and/or accrediting agencies regarding statistical information on education programs within department or unit. Manages recruitment and admission activities of unit, which may include coordinating production of brochures/recruitment materials, overseeing interview process, maintaining records of applicants, compiling statistical data on applicants, and preparing reports on admissions activities. Responsible for design, execution, and effectiveness of system of internal controls, which provides reasonable assurance that operations are effective and efficient, assets are safeguarded, and financial information is reliable. Ensures compliance with applicable laws, regulations, policies, and procedures. As directed, may process on-line forms for payroll, vacation/sick leave requests, malpractice insurance payments, supply ordering, and/or other operations needs. May assist supervisor in monitoring program expenditures within university guidelines. Performs other duties as assigned.
