POSITION OVERVIEW

Reporting directly to the Executive Director, with indirect accountability to the Academic Program Directors, the Education Program Coordinator (EPC) provides comprehensive administrative support to both the Program Directors and medical trainees, contributing to the success of the Department’s academic programs. The EPC plays a critical role in managing trainee registration, maintaining accurate records, coordinating schedules, and facilitating assessments and evaluations. The EPC also assists in organizing committee meetings, overseeing the recruitment and selection of trainees, supporting accreditation processes, and coordinating academic activities. As a key point of contact for trainees, the EPC offers general support and guidance, while also supporting broader administrative functions within the Department of Ophthalmology.

QUALIFICATIONS

  • Minimum 3 years of experience in medical education or administrative coordination in an academic setting.
  • Exceptional written and oral communication skills in English and French.
  • Strong organizational, time management, and multitasking abilities.
  • Advanced proficiency in Microsoft Office Suite and related platforms.
  • Proven attention to detail, creativity, and initiative.
  • Excellent interpersonal skills; ability to engage with diverse individuals in a professional and tactful manner.
  • Demonstrated problem-solving and planning skills.
  • Ability to work independently while supporting a collaborative team environment.
  • Knowledge of the medical education landscape and postgraduate programs is a strong asset.
  • Sensitivity to issues of diversity, equity, and inclusion.
Responsibilities

10. ADDITIONAL RESPONSIBILITIES

  • Lead or participate in academic administration meetings.
  • Support the implementation of educational initiatives such as observerships, CanMEDS roles, and curriculum development.
  • Maintain orientation materials, contribute to newsletters, and represent the program at recruitment events and conferences.

DEPARTMENTAL ADMINISTRATIVE RESPONSIBILITIES (1 DAY PER WEEK)

  • Assist with organizing department-wide events such as retreats, galas, and social functions.
  • Support budgeting and reconciliation processes for department accounts.
  • Assist in preparing committee lists, coordinating meetings (e.g., NIPO, Quality), and taking minutes.
  • Support Ophthalmology Grand Rounds attendance tracking and reporting.
  • Prepare the departmental staff on-call schedule and medical student elective schedules.
  • Manage departmental communications and distribution lists.
  • Report regularly to the Executive Director to align activities with departmental priorities.
