QUALIFICATIONS

  • Nursing qualification and/or relevant Information technology qualification (certificate, diploma, degree, post-graduate).
  • Strong knowledge of clinical workflows and EHR systems.
  • Understanding of healthcare regulations and standards, including data protection and compliance.

EXPERIENCE

  • Previous Meditech or clinical business application experience desirable.
  • At least 1 year previous hospital experience.

Responsibilities

OVERALL PURPOSE OF JOB

The EHR Specialist plays a pivotal role within the IT Department at Beacon Hospital, working under the direction of the Clinical Analyst Team Lead and IT Manager. This role is responsible for the implementation, support, optimisation, and integration of the Meditech Electronic Health Record (EHR) system, ensuring the system meets clinical, regulatory, and organisational needs.

KEY RESPONSIBILITIES AND DELIVERABLE

EHR System Implementation & Support

  • Serve as a Meditech module expert, with the goal of becoming proficient across multiple modules to enable knowledge sharing and cross-cover.
  • Troubleshoot and resolve EHR-related issues through the hospital’s ticketing system, escalating complex issues as needed.
  • Support the transition from paper to digital processes, aligning with the hospital’s “Paper-lite” strategy.
  • Additionally, this position provides On-Call IT support on a rotational basis.

Clinical Workflow Optimisation

  • Work directly with clinicians and hospital staff to streamline workflows, enhance data collection processes, and optimise system usability.
  • Conduct end-to-end testing of EHR features and customised data entry points to ensure clinical accuracy and safety.
  • Project Leadership & Process Improvement
  • Lead assigned EHR projects from planning through delivery, coordinating with cross-functional teams including clinical, IT, data, and vendor stakeholders.
  • Drive continuous process improvement initiatives, with a focus on improving clinical documentation, reducing redundancy, and ensuring alignment with hospital goals.
  • Collaborate with clinical managers and frontline staff to develop change management strategies that ensure adoption and sustainability of EHR changes.

Training & End User Support

  • Deliver individual and group training sessions for new and existing clinical staff, tailored to their roles and responsibilities within the system.
  • Develop supplemental training materials and offer ongoing support to ensure system adoption and user confidence.

Data Management & Analytics

  • Collaborate with data analysts and quality teams to create reports supporting QIPs, KPIs, and compliance monitoring.
  • Analyse clinical data to identify trends, patterns, and opportunities for improved patient outcomes.
  • Support the development and maintenance of clinical data repositories, ensuring data integrity and regulatory compliance.
  • Interdisciplinary Communication & Coordination
  • Act as a liaison between clinical staff, IT, vendors, and hospital management.
  • Ensure accurate meeting documentation, clear communication of roles and responsibilities, and timely escalation of issues.
  • Participate in policy development, ensuring consistency with hospital standards and best practices.
