JOB SUMMARY Position Title: Administrative Assistant  Program: Education and Child Development Impact Team  Classification: Non-Exempt/Full-Time Location: 601 S. Queen St. Lancaster, PA 17603 The Administrative Assistant works to support the Early Learning Supervisor to ensure a highly effective program that meets all CAP and DHS regulations and requirements. Efforts focus on management, fiscal and personnel support at a site, center operations, client/customer support, and leadership.   Duties & Responsibilities: Management and Personnel Support * Keep personnel and child file records as per DHS funders. * Create and manage a system for security cards for building access. * Oversee, assist, and report on staff clearance renewals and emergency information. * Help organize Thrive to Five center meetings or events. * Assist staff in understanding DHS regulations to ensure compliance. Fiscal Supports * Oversee the delivery and distribution of supplies and materials. * Use and maintains the program's billing system. * Assists in sending out accounts receivable statements and reminders for overdue balances. * Administers the Provider Self Service site for all ELRC clients. Center Operations * Print weekly documents for all center classrooms. * Reports program attendance in Provider Self Service portal monthly. * Ensures classroom coverage for DHS ratio purposes, which may include classroom coverage[GU1] .  Client/Customer Supports * Serve as the initial contact for phone calls, office visitors, and building entry. * Handle the client intake process from start to finish. * Displays compassion and respect for diversity and is sensitive to cultural differences. Collaboration & Leadership * Upholds CAP's mission and values through work and interactions.  * Collaborate with other departments to build relationships and use resources effectively. * Engages in continual training and professional development for job duties.  * Maintains open communication with clients, coworkers, and the community. * Handles conflicts constructively with clients, coworkers, and community members. *Performs other related duties as assigned.   EDUCATION/EXPERIENCE REQUIREMENTS *Required: * CDA OR Associate’s degree in Early Childhood Education (ECE), Social Work, Business Administration, Human Services, or in a related field with at least 12 ECE credit hours.  * 2 years of experience in providing ECE services.  *Preferred:  * Bachelor’s degree in Early Childhood Education, Social Work, School Administration or related field     **Please see attached for full job description**   We value our team by uniting our employees with our mission.
