Position Summary
The Project Coordinator provides critical administrative and accounting support to the project management team for large electrical construction projects. This role requires strong organizational skills, attention to detail, and a solid understanding of construction accounting practices. The Project Coordinator ensures accurate financial tracking, document control, and compliance, working closely with the Project Engineer and project management team.

Key Responsibilities

  • Process accounts payable (AP) and accounts receivable (AR) transactions, ensuring alignment with project budgets.
  • Assist with job cost tracking, budget updates, and financial reporting for ongoing projects.
  • Maintain accurate and organized project files, including contracts, purchase orders, and lien waivers.
  • Monitor and track subcontractor compliance (COIs, certified payroll, etc.) to ensure contractual obligations are met.
  • Support the preparation of monthly billings, progress reports, and financial forecasts.
  • Coordinate with vendors and subcontractors for timely submission of invoices and payment applications.
  • Assist with project set-up and closeout documentation, ensuring all requirements are completed accurately.
  • Provide general administrative support, including meeting minutes, correspondence, and scheduling as needed.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or Construction Management preferred.
  • 2+ years of experience in an administrative or accounting role within the construction industry.
  • Familiarity with construction accounting systems (e.g., Viewpoint Vista, Sage 300, or similar).
  • Strong proficiency in MS Excel and Word; knowledge of Procore or other project management software a plus.
  • Highly organized with excellent attention to detail and time management skills.
  • Strong written and verbal communication skills.
