Description

The Electronic Health Record (EHR) Specialist works collaboratively with the Health and Wellness leadership team and staff, Finance, the Information Technology team, the Reporting and Analytics team, and vendor(s) to provide day-to-day support for the electronic health record. The EHR specialist provides role-specific access and training for new hires, resolves EHR problems, tests and communicates EHR updates and enhancements, develops and documents new work flows, prepares training materials, and works on special projects as requested by the Health and Wellness leadership team.

Job Qualifications

  • Must have a bachelor’s degree or above. Work experience may offset level of education.
  • Prior training experience required
  • Electronic health record experience required
  • Proficient with Outlook, Word, Excel and PowerPoint.
  • Must be familiar with HIPAA Privacy and Security information system standards.
  • Must have familiarity and experience with IT change control processes.
  • Must be familiar with physical or mental health services and operations.
  • Must be able to analyze, plan, organize, and prioritize multiple activities
  • Ability to travel during the workday between sites as required

Responsibilities
  • Provide role-based access to the EHR and other clinical systems as needed for new hires and transfers.
  • Provide role-based training for new hires, as close to the hire date as possible, and other staff who will use the EHR.
  • Facilitate the addition of new services or departments, workstations, printers, scanners and other items that require updates to the EHR settings for The Centers / Circle Health.
  • Attend appropriate vendor trainings and demonstrate competency (ex. the OCHIN Site Specialist Training) for EHR support staff.
  • Coordinate implementation and role-specific training of new functionality, upgrades, and EHR-related clinical and administrative processes as appropriate for increasing staff skills.
  • Manage EHR-related change control as appropriate for system enhancements, technology changes and fixes.
  • Communicate system outages and changes to The Centers / Circle Health leadership / staff as needed.
  • Help develop documentation templates and other content, in cooperation with key clinical leaders through workflow analysis and use of technical tools.
  • Evaluate EHR options to address clinical and practice management issues.
  • Help develop and maintain relationships with OCHIN (and other vendors as appropriate) to bring in both resources and knowledge to meet the needs of the Centers / Circle Health.
  • Develop training materials and training plan for new process/functionalities of the EHR. Update and maintain accuracy of EHR training manual as clinical processes and system features change.
  • Respond to internal Help Desk tickets, following through to an adequate resolution of the problem.
  • Partner with the IT staff and OCHIN to troubleshoot technical issues that arise.
  • Attend appropriate meetings at the Centers and Circle Health as an EHR specialist and contribute to departmental and organizational decision-making through active participation.

    This requires proficiency in handling office equipment, such as printers, copiers, and telephones. Occasionally, the job may involve lifting light to moderately weighted items, such as office supplies or files. Additionally, travel and work outside of normal hours may be necessary for meetings, presentations, training sessions, and other events.
