This role supports the planning, coordination, and delivery of global new hire induction and onboarding programs to ensure a smooth and engaging experience for employees. The position works closely with Talent Acquisition, HR Operations, IT, Facilities, and business stakeholders to manage pre-joining communications, induction logistics, and onboarding readiness. In addition, the role assists with Employee and Community Experience (ECE) initiatives, internal communications, and feedback analysis, contributing to continuous improvement of onboarding processes and overall employee experience. Key Responsibilities New Hire Induction & Onboarding • Assist in the end-to-end planning, coordination, and delivery of Global New Hire Induction programs (currently virtual; may include hybrid/in-person in future). • Manage all pre-induction preparations, such as: o Sending calendar invites and communications to new hires o Setting up virtual meeting links, breakout rooms, and session flow o Manage and respond to all pre-joining communications and inquiries from new hires. o Coordinating and confirming presenter availability o Preparing presentation decks, orientation materials, and induction resources • Coordinate with Talent Acquisition, HR Operations, IT, and Facilities to ensure all Day 1 formalities (system access, hardware allocation, seating, ID cards, HR documentation, etc.) are completed smoothly. • Facilitating new hire induction sessions weekly • Maintain and regularly update: o Induction trackers o Attendance sheets o Feedback forms - Interpret Glint report insights and translate them into focused, impactful action steps o Standard templates and onboarding communication kits • Provide timely responses to new hires on induction-related questions and support their Day 1 to Week 1 onboarding experience by guiding them through processes and ensuring proper handoffs. ECE Program Support • Assist in planning, scheduling, and delivering ECE initiatives, including but not limited to: o CSR/Helping Hands initiatives o iMatter & network team activities and campaigns o New hire connect sessions • Support internal communication activities following the HR communications process , updating SharePoint pages, scheduling announcements, and coordinating. • Manage post-event surveys, consolidate feedback, and support insights generation to enhance future events. • Partner with vendors and internal stakeholders for: o Event logistics o Material procurement o Budget tracking inputs o On-ground/virtual coordination • Assist with strengthening the employee experience by contributing to: o Process improvements o Documentation updates o Standard operating procedures (SOPs) o Ideas for engaging new hires during pre-joining and onboarding stages. Stakeholder Collaboration & Reporting • Work closely with the TA, IT, HR Ops, Facilities, and business stakeholders and other teams to ensure a consistent and high-quality induction experience. • Assist in identifying challenges or bottlenecks in onboarding and suggest potential solutions. Required Skills & Qualifications • 1–2 years of experience in HR, onboarding or a related field. • Strong communication and interpersonal skills. • Excellent coordination, planning, and multitasking abilities. • Good command of MS Office Suite (Excel, PowerPoint, Outlook). • Ability to manage multiple stakeholders and work in a fast-paced environment. • Detail-oriented with a focus on delivering high-quality employee experience.
